Position Summary:

The Administrative Assistant will: 1) assist the company with its internal and external communication and materials; 2) be present for and during events




Job Duties: Perform administrative and office work utilizing systems such as word processing, managing files and records, designing and proofreading forms, etc. Address customer inquiries after researching the answer or direct them to the appropriate person(s) according to their needs. Use computers for various applications, such as database management, internet software and/or searches and creating documents. Open, read, route, distribute and file incoming email or other materials and answer routine requests in a timely manner. Operate multiple electronic mail systems and coordinate the flow of information, internally and with other organizations. Learn to operate new office technologies as they are developed and implemented. Setup and manage electronic filing systems, recording information, updating paperwork, or maintaining documents such as attendance records, tracking forms, or other material. Maintain accurate records for the orders of up to 200 guests leading up to our events as changes come in. Perform on-site work for ~13 events throughout the year, each at different venues. Primary roles may change throughout the event. The 4 largest events last ~3 full days (from early morning to late night) and typically occur from Thursday through Saturday. Place orders online for office supplies, event supplies and/or make occasional purchases in stores. Make occasional deliveries to the studios in the region. Create, maintain, and enter information into multiple databases. Requirements Occupational Requirements Working with Computers and Phone systems Utilize MS Office applications to support the events department in maintaining top quality customer communication Superior written and oral communication skills Able to provide consistently high levels of customer service Communicating with Supervisors, Peers, or Customers Getting Information Performing Administrative Activities Establishing and Maintaining Interpersonal Relationships Processing, Documenting, and Recording Information Thinking Creatively Excellent time management and attention to detail This position is up to 90% remote; however, candidates must live in the greater Phoenix/Scottsdale, Arizona area and be able to attend our competitions and other events in person.
