Administrative Assistant to the Registrar Location Levelland, TX : Job Title Administrative Assistant to the Registrar Department LEVL - Enrollment Services Employment Status FT Full-Time Full Time/Part Time Full Time Benefits Yes Months per Year 12 months SUMMARY The Administrative Assistant to the Registrar works as a member of the Admissions and Records Department and reports directly to the Registrar. The Administrative Assistant to the Registrar is responsible for international students' records; record keeping of student and course files. The Administrative Assistant is responsible for providing admission and general college information to students through personal visits, emails, letters, and phone conversations. Development of a high level of knowledge regarding South Plains College's academic and technical offerings and the College's services is essential. This position requires a professional appearance and demeanor as well as strong communication and computer skills. High energy and a positive approach to working with students and colleagues is a must. The individual must be customer service oriented and must work well in a team context and multi-functional department. ESSENTIAL DUTIES AND/OR RESPONSIBILITIES Assists students with general admissions information, forms, and registration. Greets and assists students in a professional and courteous manner. Assist with international admissions and with maintaining international student records. Assists with registration preparations and semester processes. Assists with student drops and withdraws. Maintains social security number corrections and changes. Maintains grade book records for credit and non-credit courses in Perceptive Content. Ensures confidentiality of student and course records. Provides secretarial support for the Registrar. Performs other duties as assigned by the Registrar. SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty with high level of accuracy and efficiency. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to students, instructors, and other employees of the College. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Qualifications EDUCATION AND/OR EXPERIENCE Associate's degree (AA, AS.) or equivalent from an accredited two-year college or technical school preferred. Two or more years related experience and/or training; or equivalent combination of education and experience. Excellent computer skills. Strong communication and interpersonal skills.
