Administrative Assistant to Executive Vice President of Administration & Finance Location Ada, OK : Lincoln 20 hr, Business Manager - (3272785) Oversee business management, development and operation of McLean Lincoln, a residential program for adult patients with treatment resistant depression located in Lincoln, MA. Maintain compliance with all applicable local and state contracts, regulations and/or guidelines for the operation of the treatment program.
Principal Duties and Responsibilities Accountable for operational performance of the McLean Lincoln. Monitors fiscal performance and business operations, under the supervision of the Program Leader. Develops annual operating and capital budget requests in collaboration with the Program Leader. Handle general office procedures and functions (i.e. accounts receivable, accounts payable, purchase orders/EBuy system, etc.). This represents a larger than usual percentage of duties due to the need to contract all services provided for this off-site facility. Greet vendors, patients, families, and guests of the program. Oversee housekeeping activities at Lincoln and monitors performance of housekeeping, laundry and cleaners' services to ensure that Lincoln maintains a high level of customer service and responsiveness to matters related to comfort and safety for residents. Manages all contracted services (e.g. food services, dietary consulting, housekeeping, maintenance, linen service, lab services, waste management and hazardous waste contract, etc.). Conducts ongoing inspections of the facility, (e.g. furniture, accessories, equipment, house exterior, grounds, etc.) to ensure optimal appearance and maintenance of Lincoln. Works with Vendors and the Mclean Facilities Department through the director to ensure rapid solutions to repair and maintenance issues. Manages all food services, including contracted food services and any dining service employees assigned as direct reports. Troubleshoots technical issues for the program (i.e. phones, computers, wireless, HDTV, etc.) Assure that QA protocols and checklists are followed and reviewed in a timely manner. Problem solves and coordinates the shuttle transportation of patients and the program courier issues. Monitor program operation budget and applications, contracts and budgets as required by McLean, and state agencies. Develop appropriate policies and procedures for the program with program director in compliance with local, state, federal agency regulations and prepares licensure materials as needed and ensures program is in compliance with DMH licensure criteria. Manages the hiring processes in collaboration with program director and coordinates human resource data for Lincoln employees, ensuring that orientation and training is scheduled and completed. Manage Lincoln PeopleSoft and UK Dimensions electronic systems and liaison to McLean Human Resources and administrative departments and c ollaborate with Program Leader to manage schedule for staff supervision and to process transactions in a timely manner. Works with Human Resources to resolve employee relations issues and assures accurate implementation of HR policies and procedures. Qualifications (MUST be realistic, neither overstated nor understated, and related to the essential function of the job).
Bachelors degree required. Masters level preferred in business or human services. 3 years management experience in health care operations. Skills/Abilities/Competencies Required (MUST be realistic, neither overstated nor understated, and related to the essential function of the job).
· Entrepreneurial, self-starter with good managerial skills and ability to work independently.
Superior analytic and project management skills. Knowledge of and experience in chemical dependency treatment a plus. Proficiency in Microsoft Office skills (i.e. Word, Excel, Access, PowerPoint) mandatory. Excellent verbal and written communication skills to interact productively with staff and vendors, and to collaborate with the director and Human Resources to resolve employee relations issues. Ability to work as part of a multidisciplinary team using a collaborative, solution-oriented approach. All employees must possess basic computer skills to use a variety of electronic or online systems for communication, clinical and administrative purposes. Required to complete electronic medical records training, and demonstrate 80% accuracy on competency test within 30 days of hire. Setting: Office and clinical spaces in residential treatment facility. A combination of remote and on-site work may be possible. Variable schedules to include local travel with primary site at McLean Lincoln, Lincoln, MA. Setting; Office, Laboratory, and/or Clinical spaces in an acute care psychiatric hospital Includes occasional local travel and travel to McLean Hospital in Belmont Minimal (may handle packages, mail as part of typical office activities) Hazards: Only as typical for behavioral health and on-site health care facility.
