What will the position be like? This is a full-time position with day-to-day duties that include reporting directly to the HRx Principals and providing support in a one-on-one working relationship. The Administrative Assistant may also work independently on projects, from conception to completion, and must be able to work under tight timelines to handle a wide variety of activities and confidential matters with discretion.
What will your responsibilities be and what is needed to be successful?  Completes a broad variety of administrative tasks for the two HRx Principals including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Updates, coordinates, and manages the Principals' schedules and calendars following set priority perimeters. Acts in an administrative "gatekeeper" role, managing access to the Principals' time and at their discretion. Successfully completes critical aspects of deliverables with a hands-on approach, including PowerPoint presentations, spreadsheets, organization charts, correspondence and other tasks that facilitate the Principals' ability to effectively lead the company. Acts as a senior management liaison, including notetaking and information sharing from meetings. Supports miscellaneous projects, client partner engagement opportunities, and events, as requested. Responsible for making reservations, hotel accommodation for Principals and team members as needed for business travel. Responsible for processing payroll, invoicing, entering benefits for new hires, and managing new paperwork. Provide administrative support, assist in creating and designing marketing content, editing, and proofreading. Communicate with clients on project parameters. Answer incoming calls, texts, and emails in a friendly and professional manner. Data entry of projects into the database. Provide dedicated administrative support in a professional, confidential, and organized manner. Organize/maintain electronic files. Assist with other duties as assigned. Som e must-haves: High School Diploma or equivalent required. Associates or Bachelor's degree in Business, Communication, or other related field preferred. What experience is needed? A minimum of 2 years of experience in general administrative responsibilities and procedures.
Do you have these special skills? Advanced knowledge of Microsoft Office to include Word, Excel, Outlook, and PowerPoint is required. Ability to adapt, pivot, and be flexible. Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Ability to work in a fully remote capacity.  Very strong interpersonal skills and the ability to build relationships. Expert-level written and verbal communication skills. Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Proven ability to handle extremely confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Demonstrated ability to achieve high performance and meet deadlines in a fast-paced environment. Must display a high level of emotional intelligence and sensitivity to client needs. Capable of creating customized, actionable market reports using pivot tables, advanced formulas, or macros. While this position does not manage folks directly, you must be able to manage up!  Hourly Wage: $27-28
