Administrative Assistant/Office Manager The Administrative Assistant/Office Manager reports to and works closely with the director assisting in coordinating the daily operations of the Archdiocesan Spirituality Center. This position exercises considerable independent judgment and initiative in the performance of day-to-day duties. Primary responsibilities and relationships with others in the organization are outlined below.
This position is at the Archdiocesan Spirituality Center located on the campus of St. Mary Magdalen Catholic Church in Metairie. Office hours are 8:30-4:30 Monday through Friday. Thirty minutes is allotted for a lunch break. Vacation time, holidays, and sick days are taken according to archdiocesan policy.
Duties and Responsibilities 1. Implements the Archdiocese's mission and philosophy as it relates to the goals of the Archdiocesan Spirituality Center.
2. Responsible for all related office duties including answering telephone, greeting visitors, checking emails, etc.
3. Manage internal financial records of the ASC using Donor Express and Excel. Make twice monthly bank deposits. Prepare monthly payroll, pay federal and state taxes, W-2s and 1099s. Keep a record of all disbursement requests (expenses) and gifts received (revenue).
4. Manage building maintenance and access to the building through electronic door control. Assign keys to recipients approved by the director. Coordinate with the maintenance person on cleaning, all updates and repairs.
5. Attend monthly staff meeting and record minutes for same.
6. Receive requests for use of all spiritual direction offices.
7. Send and receive all postage mail and general emails.
8. Advertise upcoming programs monthly. 9. Work with staff member to update and maintain ASC's website.
10.Work closely with board members on yearly gala. Record minutes of board meetings
Qualifications 1. Experience in an administrative/office management role
2. Have experience in and be comfortable with the regular use of website management, email campaigns, and other electronic means of communication
3. Excellent written and verbal communication skills
4. Attention to detail
5. Ability to organize and prioritize
6. Proficient in using Microsoft Office.

Education/Experience
Minimum High School Diploma and 2-5 years experience, or equivalent experience
