Position Summary: This position is a supportive role for the manufacturing facility and is responsible for handling various administrative tasks. The Administrative Assistant will provide support to our managers and employees, assisting with daily office needs and assisting with our company's general administrative activities.
Primary Duties and Responsibilities: Act as a point of contact for internal clients within all departments as well as external clients and visitors. Address employees' and clients' queries (via email, phone or in-person). Photocopy and print out documents on behalf of other colleagues. Maintain office and break room supply inventory by checking stock to determine inventory level and anticipating needed supplies. Placing and expediting orders for supplies, business cards, verifying receipt of supplies. Manage and route phone calls appropriately. Organize company documents and maintain appropriate filing systems. Prepare presentations, spreadsheets, and reports as necessary. Manage communication boards and announcements. Make building and visitor entry badges. Coordinate repairs to office equipment and provide assistance to employees and visitors as needed with equipment. Receive and distribute website inquiries to appropriate departments. Assist with travel arrangements when necessary and make hotel reservations for visitors to include travel agents, car services, couriers, hotels, etc. Handle refreshments, snacks, lunch requests for visitors and other guests as requested or necessary. Sched ule in-house and external meetings. Other duties as assigned by management. Knowledge, Skills, and Abilities : Excellent time management skills and the ability to prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational skills with the ability to multi-task Handle sensitive information in a confidential manner. Provide polite and professional communication. Education and Experience: High school diploma or GED. College degree preferred, but not required. 2 to 3 years' experience as an Administrative Assistant or Office Admin Assistant, manufacturing experience is preferred, but not required. Familiarity with office management systems and procedures. Working knowledge of office equipment (e.g., printers, fax machines) and proficiency in MS Office (especially Excel and PowerPoint).
