Job Summary For those interested in Administrative Assistant role, then this is the perfect job for you. You will provide administrative and clerical support as directed to meet site objectives. Incumbent may also be assigned additional duties as directed, including, but not limited to preparing budget reports, assisting with onboarding new hires, and Environmental, Safety and Health (HSE) activities.
You will also work closely with the Head of Health, Safety, and Environment to ensure site/regional HSE processes are executed in line with corporate guidance.
Job Description Provides daily administrative support/functions, including but not limited to managing phone calls, new hire onboarding support, procurement of goods and services, submitting purchase requisitions, ordering supplies, scheduling meetings, managing conference room schedules Assigned duties as the Site Medical Contact and ensure compliance with all relevant EHS and medical programs Administrator/User for various HSE systems (AIMS, Elements Live, Learning and Chemical Management) and supports implementation and administration of other client related systems. Helping to develop and manage HSE file/document retention program to align with client requirements Reviews client Global and North America HSE requirement documents and compares with local procedures to ensure alignment with directives Helping to develop and implement standard operating procedures and policies around the Responsible Care initiatives this includes compliance reporting as well as assist in training development and delivery Completes monthly and annual HSE reporting requirements Facilitating event planning, assisting in content development, and coordinating logistics (invitation correspondence, catering, space planning, notetaking etc.) Providing administrative support for senior managers (calendaring, managing business meetings, travel, and monthly expense reports, etc.) Coordinate with other Administrative / Office Assistants for company-wide and inter-site events and policies Address employees? queries regarding office management issues (e.g. stationery and hardware) Monitoring operational budget(s) in conjunction with Site Leader to ensure compliance with the site's financial objectives Reviewing all invoicing with on-site departments, processes expense reports and payment of invoices and ensure accuracy of all invoices and accounts for products and services received Performing additional responsibilities as needed, or business needs shift. Plan with relevant employees for in- or off-site activities such as parties, celebrations, and conferences Coordinate with IT department and maintain functional status of audiovisual equipment in conference rooms POs for Lab Leaders/Technicians Order lab coats Order safety shoe (red wing) Maintain global e-mail distribution lists Organize gift cards/gifts (i.e., for new born) Align content of business cards and order them Office supply Convert data into the right format Printing posters Organize conference room equipment Lunch for meetings (internal & extern) Organize biz trips Manage calendar Expense report Skills Required Must have excellent communication (written and verbal) and customer service skills. Must be detail-oriented and able to read and interpret company policies, procedures, and guidelines Strong time-management and organizational skills. Must be proficient in Microsoft Office software (Word, Excel, PowerPoint, Outlook) Must be able to lift and/or move up to 40 pounds Working knowledge of corporate spending reports Preferred Qualifications: Proficiency Lotus Notes and Strong data analysis and other data systems Experience working in a 5S and safety-conscious environment Education/Training/Certifications High School Diploma with 3-5 years of administrative experience. Preferred: Bachelor's Degree in Business Administration, Management, or related Additional Requirements A lot of drive/motivation to work in a high paced position The ability to work well on their own and meet deadlines Has solid background using various data systems Attention to detail and problem-solving skills Familiarity with change management and training development & Learning Management Systems Environmental, Safety, and Health experience is helpful Work Schedule: candidate will be working on-site in an office environment (Monday - Friday; schedule slightly flexible) Pay Rate/Salary $21.00 per hour
