The Position The Administrative Assistant II will work in our Dallas, Texas office and is directly supervised by the Office Manager while supporting office staff and field personnel by accurately creating documents, templates and correspondence and maintaining various reports and records. This person contributes their individual skills and talents to achieve team objectives and works effectively with others in a team setting.
Job responsibilities include: Creating templates, documents and editing correspondence for all management and field personnel as needed Create and maintain Branch employee timesheets and confirm approval. Assist Human Resources with various tasks as directed. Maintain inventory of kitchen, office, and shop supplies Assist Document Control Department as needed. Provide support and cross-training for Administrative Assistant III Maintain the branch office project list with accurate information in all categories and update immediately as changes occur. Facilitate the preparation, assembly, and distribution of final reports as needed. Assist Administrative Assistant III with maintenance of Branch project fact sheet for use in RFQs/RFPs Maintain Branch generic email, checking daily and distributing to correct department. Coordinate annual renewal of EAB employee ID badges and maintain file in shared location. Record and distribute monthly Staff Meeting Minutes Utilize a monthly task checklist derived from position responsibilities and procedures and submit it to the Office Manager at month-end. Direct incoming calls Incorporate Administrative Assistant I task list. Other duties as assigned. Required Qualifications: 3-5 years of administrative work experience. High school diploma or HSE required. Proficiency with Microsoft Office 365. Required Skills: Strong communication and telephone etiquette skills. Exhibits strengths in spelling, grammar, typing. Proficiency with Microsoft Office 365. Knowledge of employee benefits preferred. Exceptional oral and written communication skills to effectively interact with all levels of an organization. Highly organized and detail-oriented with the ability to work in a fast-paced environment. Team player who can effectively handle frustrations encountered in completing multiple tasks or in conflict-laden situations while maintaining quality and consistency. Interested?
