Summary
Provide high-level administrative support and hospitality by performing clerical functions such as preparing correspondence, tuition billing & financing, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise classroom staff. Responsible for organizing and coordinating office operations, projects, and procedures to ensure organizational effectiveness and efficiency. Duties Answer phones, greet visitors and direct the flow of activity. Organize office operations and procedures Control correspondences Prepare supply requisitions Liaise with other agencies, organizations and groups Maintain office equipment & other necessary repairs Coordinates and supervises the daily operation security functions Works with the director to establish a safe and secure learning environment for students and staff. Develops plans for emergency situations in collaboration with other administrators, staff and public safety agencies. Monitors halls, school grounds, and pupil movement to ensure a safe and orderly environment at the assigned school. Seeks ways to develop and sustain a climate of mutual respect among the students, staff, and families who participate at LRES. Ensure filing systems are maintained and up-to-date. Define procedures for record retention. Ensure the protection and security of files and records Ensure the effective transfer of files and records. Transfer and dispose of records according to retention schedules and policies. Assists the executive director in ensuring that the school's policies and procedures meet state, federal, and division requirements. Prepares pertinent reports and records in accordance with the school division's, local, state's, or federal government's requirements. Requirements Assist in the collection, organization, and reporting of data, including enrollment forms, attendance, billing, and assessment of children. Produce reports for external/internal purposes, such as program and staff management, and to enhance the child's outcome or the site's quality improvement plan. Conferences with parents/guardians of students concerning billing, attendance, and student incidents. Monitors the food program to include coordinating with food vendors, CACFP Compliance, and communication with Nutrition Specialists regarding ordering of food and kitchen supplies Utilize Brightwheel to adjust billing plans, apply late fees, and print necessary reports. Coordinate all logistical needs of meetings, such as meeting notices/reminders, meeting space, food, sending materials out, and printing meeting materials. Coordinates transportation as needed for off-site activities Assists the executive director in establishing and sustaining relationships with the business community and organizations to foster understanding and solicit support for students and their families. Attends and supervises after-school, evening, and weekend school-sponsored events and activities as assigned. Nice To Haves
