The Daniel J. Epstein Department of Industrial & Systems Engineering is looking to expand the staff to support the department's strategic growth and new initiatives.  The position will be the lead support staff for the weekly faculty seminar, faculty candidate interviewing, and scheduling of events.   As a member of the team, the Administrative Assistant will play a key role in administrative support of the faculty, students, staff, and the Chair.  In this fast-paced environment, we are seeking someone with exceptional organization skills, ability to communicate succinctly both written and verbally, and someone who wishes to grow with the department.  
Primary Responsibilities Include: Day-to-Day Scheduling, Calendaring, and Event Planning Assistance: Scheduling
Submit conference room reservations, lunch reservations, and parking reservations for all department events, other ISE faculty, research groups, and staff as requested Send confirmation email to guests with parking reservation details + maps Manage all department conference room calendars and resolve any scheduling issues Prepare internal requisitions for payment for faculty/dept. lunch reservations Calendaring
Email all calendar invites for faculty meetings and department events, weekly eblast announcements, event eblast announcements, and email reminders for all meetings and events Support for the ISE 651 Epstein Weekly Seminar: This includes:
Work with instructor of record each semester to coordinate guest speaker scheduling Email calendar invite to guest speaker to reserve speaker date Make travel arrangements for the guest speakers including airfare (as needed) and hotel arrangements; process guest post-travel reimbursements (if any) Create weekly faculty one-on-one meeting sign-up schedule Finalize schedule with instructor of record and then send out to all meeting participants Send out the weekly announcements for the seminars Submit any necessary room reservations, lunch/dinner reservations, and parking reservations for ISE 651 seminar Process meal reimbursements for faculty hosts of ISE 651 Epstein seminar speakers Ordering supplies/food for ISE 651 seminar Oversee administrative and AV classroom support to Instructor of Record for ISE 651 Epstein Seminar class Set up and break down for ISE 651 seminar and meetings Faculty Candidate Interview Scheduling: Faculty Candidate Interview Scheduling
Communicate with faculty candidates to secure interview dates and assist with travel planning Create sign-up sheet and coordinate interview scheduling with all ISE faculty, Viterbi Dean, Viterbi Vice Dean for Faculty Affairs, and other USC faculty members Confirm final schedule with Dept. Chair Email final meeting schedules to faculty participants (by day) with all location details Managing day-of-schedules and reorganizing meetings to accommodate last-minute changes; act as back up for escorting candidate to/from meetings Process all recruits reimbursements (if necessary) Job duties may be added or modified as needed.

Additional Information: This is a hybrid position. The Administrative Assistant will be expected to work onsite 3 days per week per week. During peak busy times, the days onsite may increase.
The hourly rate range for this position is $22.01 - $24.25.   When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope of responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
Preferred Qualifications: We are looking for an outgoing professional person, able to juggle multiple timelines, changing priorities, and a good communicator with different stakeholders. Project management, scheduling and travel experience a plus.  Attention to detail and not easily distracted will be key in excelling at this role. Discretion is assumed.
