Administrative Assistant I - Health Sciences Location Dayton, OH (Downtown area) : The Health Sciences (HS) Division at Sinclair Community College educates the students of the communities we serve to become competent and compassionate health professionals through the use of cutting-edge technology, health and wellness activities, evidence-based practice and inter-professional initiatives. The purpose of the Administrative Assistant is to provide direct administrative support to the Health Sciences division, and to provide service to both internal and external customers in a manner that enables the department to operate efficiently and professionally, while maintaining a pleasant, wholesome environment. The salary range for this position is $32,842- $55,173 and is determined commensurate with experience. Why work for Sinclair College? Answer questions, transfer calls accordingly, communicate accurate messages to appropriate personnel Communicate appropriately to email inquiries and communications Schedule appointments for students and visitors to meet with the Department Chair and Program Directors Student Support and Success: Assist with program accreditation requirements Maintain files, records, and databases to track applicants, students currently in the program, and program graduates Complete the pre-acceptance processes to determine each student's cohort eligibility and ranking priority for acceptance into limited-enrollment programs Create and relay appropriate communications to program applicants; application confirmations, program information and requirements, eligibility status, acceptance letters, etc. Verify grades of pre-nursing students related to curriculum requirements after each term; identify students who are off track and communicate with Chair accordingly Coordinate new affiliation agreements for student clinical experience sites; initiate proposed agreements with new site, track and coordinate with site Coordinate background check and health certificate completion processes and maintain records as required Business and Facilities Operations: Monitor and maintain inventory of office supplies; order, process, receive supplies Support and maintain inventory of lab supplies: order, process and receive supplies based Use Sinclair P-Card appropriately to order supplies, etc. and adhere to college guidelines for transaction processes and approvals Initiate appointment requests for meetings; coordinate booking appropriate meeting room and food requisition processes where applicable Create and proofread correspondence, documents, and reports Process incoming and outgoing mail correspondence Order duplication, receive duplicated materials and distribute appropriately Process electronic and hard copy purchase requisitions Process work order requests and help desk tickets as needed Requirements Minimum of a High School diploma or equivalent required, Associate's level degree in related field preferred Minimum of 2 years office related work experience required Current and proficient computer skills to include current working knowledge of Microsoft Office (Word, Excel, Outlook, etc.) with ability to learn various other software/databases utilized by the college required Ability to work on multiple tasks simultaneously while providing great attention to detail required Professional communication skills to include but not limited to oral and written required High level customer service skills to serve the college and community required Knowledge of program curriculum and admission requirements preferred As a condition of employment, the selected candidate must submit to a Bureau of Criminal Investigations fingerprint background screening
