COMMUNITY & ECONOMIC DEVELOPMENT DEPARTMENT Full-time position . We are seeking an organized and detail-oriented Administrative Analyst II to join our team. In this role, you will be responsible for a variety of administrative tasks, including managing correspondence, handling grants, reviewing contracts, and requesting proof of permits. You will also be responsible for receiving payments and collaborating with the Communications team on marketing, outreach, and information campaigns across various digital and print media, including conducting impact and engagement analysis. Additionally, you will work with a larger committee of community stakeholders to produce and oversee large, local community events
EXAMPLES OF DUTIES: Serve as a liaison with public and private organizations and community groups. Perform manual set up and tear down of City events Performs a variety of clerical tasks including word processing, proofreading, filing, editing, office machine operation; sorts, files, prepares and/or processes a variety of documents and records, including personnel and purchasing forms, and claim vouchers according to established procedures; makes travel and meeting arrangements. Participate in comprehensive and sensitive special projects including research of new programs and services, budget analysis and preparation, and feasibility analyses; prepare and present reports. Participate in the development and implementation of operational and administrative programs, policies and procedures. Composes correspondence and performs routine administrative tasks associated with sub-components of department programs; establishes and carries out record keeping procedures; develops or obtains forms and documents; interfaces with other City staff and outside agencies in obtaining information and coordinating activities. Participate in the preparation and administration of the public worker budget; maintain and monitor appropriate budgeting controls. Prepare meeting agendas. Collect and collate agenda materials. Locate grants and developing grant proposals. Perform other grant related duties as assigned. Must be able to design and maintain websites and social media. Develop and coordinate Community Outreach events. Prepare statistical and other reports. Must be able to use Excel effectively. (not just input) Perform related duties as assigned.
EDUCATION Any combination of education and/or experience that has provided the knowledge, skills, and abilities necessary for satisfactory job performance. Example combinations include graduation from high school or equivalent and four years of progressively responsible secretarial experience. Prefer minimum of associates in business or accounting, or two years in business, accounting or finance studies.
QUALIFICATIONS: Working knowledge of Methods of research, program analysis, and report preparation. Policies and procedures of the assigned department. Basic principles and practices of budget administration. Public relations techniques. Principles and procedures of record keeping. Modern office procedures, methods including computer software and hardware. Ability to Plan, coordinate, and organize major studies or projects. Prepare and present reports orally before policy and decision-making bodies. Read and interpret complex legislation and regulations. Design and conduct research projects. Develop and implement policy decisions and accomplish intended results. Resolve conflicts effectively. Cost labor proposals; work independently; understand and apply general fiscal and financial record keeping practices in the performance of assigned tasks; communicate effectively; establish and maintain cooperative working relationships; meet the public in situations requiring diplomacy and tact.
