Full job description Description Provide comprehensive support services to the Office of Human Resources with primary responsibility of facilitating the acquisition of J-1 visas, J-1 Waivers and H-1B visas and permanent residency petitions for foreign faculty and staff, and serving as liaison with outside Immigration Attorney(s) serving Southern Illinois University and School of Medicine and facilitating case management and submission of immigration documents. Will also provide staff support for the Office of Human Resources and provide back up support within the office.
Examples of Duties IMMIGRATION SUPPORT 70%
Serves as liaison between the Office of Human Resources and outside counsel representing Southern Illinois University and the School of Medicine in immigration and on related matters. Responsible for case management and submission and review of final immigration documents as provided by outside counsel representing Southern Illinois University and the School of Medicine on immigration and related matters. Facilitates the requests from departments of J-1 visas, J-1 Waivers and H-1B visas and permanent residency petitions (EB-1 and EB-2) as needed for foreign faculty and research scholars by gathering all materials required for visa submission including preparation of the prevailing wage, labor condition application and the immigration documents or assisting outside counsel for permanent residency petitions and J-1 Waivers. Gathers and prepares data and all materials required for visa document submission, working closely with outside Immigration Attorney(s). This includes preparing files, ordering and tracking translation and equivalency of foreign documents, and copying and preparing documents for mailing. Also responsible for posting immigration data in the library and at HR for certification. Responsible for the maintenance of data to validate current visa holders and follow-up for renewals or changes to visa categories. (i.e. H-1B to Green Card). Maintains and takes responsibility for tracking current visa processes in terms of status, requesting checks for filing and attorney fees, and reviewing invoices for correctness prior to forwarding to the for approval. Maintains visa and Green Card status report and follows up on cases to assure timeliness. Coordinates, facilitates, and serves as primary liaison between Carbondale Campus (Physiology, Anatomy, and Biochemistry) and relevant departments on preparing and processing documents for J-1 visas, and the subsequent follow up work after the individual has entered the United States. Maintains and updates Public Access File Documentation files, as required by the US Department of Labor, for the School of Medicine. Prepares travel documents on behalf of Foreign Nationals prior to their departure from the United States.
GENERAL SUPPORT 30%
Serves as Fringe Benefit Reporter for the office staff. This includes collecting time off requests and entering into Outlook calendar as well as reconciling and organizing timely and accurate reporting of time. Submits biweekly, semi-monthly and monthly payrolls as required. Notifies HR staff of scheduled payroll run dates to ensure the timely processing of transactions. Researches, compiles, and conducts analyses to support HR projects. Performs routine entry, queries, maintenance and updates to databases such as license renewals and diversity tracking. Responsible for ordering office supplies as needed. Assists with ordering and updating Labor posters in multiple locations. Send out Internal Transfer forms when employees change departments Provides back-up support and coverage to reception area as needed. Responsible for assisting with preparing routine fiscal paperwork for review and approval: Purchases; i.e. purchase requisitions. Bill paying, either for p-card transactions or through invoice or contractual service vouchers. Travel vouchers Internal billings Office inventory maintenance and annual report. Qualifications High school graduation or equivalent Any one or any combination totaling five (5) years (60 months) from the following categories: college course work in business, finance, accounting or a related field: 60 semester hours or an Associate's degree equals one (1) year (12 months) 90 semester hours equals two (2) years (24 months) 120 semester hours or a Bachelor's degree equals three (3) years (36 months) Master's degree or higher equals four (4) years (48 months) progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles Supplemental Information If you require assistance, please contact the Office of Human Resources at or call Monday through Friday, 8:00am-4:30pm.
