Responsibilities
• Provide primary clerical and administrative support for AVP/SFS• Maintain customer service within the office and update calendars and directories• Assess and coordinate appropriate staffing• Communicate and collaborate with Human Resources, Payroll, and Accounts Payable• Process new appointments and payment vouchers• Oversee travel arrangements and expenses• Represent the AVP/SFS Office and interact with internal and external customers• Create and maintain budget excel spreadsheets• Serve as human resources liaison and process personnel action paperwork• Assist with programs, events, conferences, trainings, and meetings• Maintain records and organize filing and archive systems• Oversee office mail and package shipping and receiving• Supervise front desk staff• Manage calendars and schedule appointments• Provide clerical and administrative support for senior leadership staff• Maintain confidentiality on sensitive information• Answer and refer telephone calls, emails, and inquiries• Knowledge of Microsoft Office and institutional software systems• Other duties as assigned
Requirements
• Manage administrative activities for AVP/SFS• Bachelor's degree from a four-year college or university• Three years related experience or equivalent combination of education and experience• Excellent written and oral communication skills• Ability to provide outstanding customer service• Demonstrated ability to set priorities and manage multiple projects• Strong organizational skills• Demonstrated analytical and critical thinking skills• Ability to interact effectively with people of all ages and identities• Preferred: Experience in a college/university setting• Preferred: Extensive knowledge of financial transactions and third-party vendors• Preferred: Familiarity with PeopleSoft and/or Banner
