This position will provide secretarial and administrative support to the Principal Investigators, Administrative Director and study team members regarding the operational management of The Strategies to Innovate Emergency Care Clinical Trials Network (SIREN).
Responsibilities include but not limited to: composing and typing correspondence letter dictations and meeting minutes; answering phones and Center inquiries; initiating complex scheduling for meeting and clinical shifts; coordinating SIREN activities related to meetings including arranging catering, making room reservations and preparing /distributing materials; supporting the preparation and submission of research proposals, contract and grant materials, progress reports and other project-related materials; coordinating frequent (foreign and domestic) travel arrangements and expense reports for all center-related travel. This person will maintain faculty related documents such as but not limited to CVs, MCV data database, CME tracking logs, and research-related Other Support.
This position will also provide back-up and support to another departmental administrative assistants as needed
4-5 years progressively responsible secretarial and administrative experience; proven ability to prioritize, have exceptional organizational skills meet deadlines and produce detailed and accurate work; demonstrated ability to work successfully within a team and also independently and exercise good judgment; excellent computer skills (especially in Microsoft, Google and calendaring platforms); proven ability to assess and handle highly sensitive and confidential matters; strong interpersonal skills; excellent written and oral communication skills. and flexibility with schedule.
The ideal candidate will be proficient in health/clinical research related terminology with exposure to grant proposal submissions. He/she would be a pro-active team member and willing to assist other team members as needed, and meet multiple concurrent deadlines independently. An ideal candidate possesses a high proficiency in Microsoft Word, BlueJeans, Skype, PowerPoint, Excel, Project, and Adobe office products.
This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
