Admin Assistant - 12-4pm (Part-time) Location Redwood City, CA (Central area) : Administrative Assistant Ombudsman services of San Mateo County, Inc. Ombudsman Services of San Mateo County, Inc., is seeking a part time Admin Assistant to join the team in providing support ensuring day to day operations run smoothly. The ideal team member is an adaptable individual looking to expand their skills and flourish as part of a well-established nonprofit service that works to assure the protection of residents through advocacy, direct intervention, and education in collaboration with service providers. The service advocates for both the elder and dependent adults residing in San Mateo County's licensed long term care facilities. The Admin Assistant is a positive self-starter who is motivated to pitch-in where needed.
Position Summary: Reporting to the Office Manager, the Admin Assistant will perform a range of administrative, and office duties to facilitate the efficient operation of the organization and supports activities relating to our staff, the program, events, and other activities.
The Opportunity: Duties include:
Providing information and general assistance over the phone and directing the caller in a congenial and professional manner to the appropriate resource Organize bi-weekly staff meeting with Executive Director. Prepare correspondence for Executive Director and other staff as needed. Help prepare monthly reports to Aging and Adult Services reporting on the activity of the program using Ombudsman Data Integration Network (ODIN) Calendar all board meetings and activities. Reserve meeting space as needed. Arrange conference calls and schedule meetings and appointments. Preparing for Board of Director meetings, including calendaring, and recording meeting minutes Act as technology resource and point of contact for all technology platforms including ODIN, Email systems, Word Press, Donor Perfect, social media, etc. Place Recruitment ads when necessary Work with new employee orientation and assist in onboarding new staff members and Board Members. Manage general email account and calendars. Ordering and organizing office supplies Ability to do data entry as needed. Delivering, collecting, and distributing mail The Ideal Candidate: The ideal candidate will possess a bachelor's degree or a combination of college courses in Business Administration or Public Administration possessing two or more years of administrative experience. The candidate must possess a strong work ethic, integrity, and discretion while handling sensitive matters.
Required skills include:
Proficiency with Microsoft Office, Excel, Outlook, Power Points and would be willing to learn ODIN (state software of Ombudsman Services) and Donor Perfect software applications. Be able to demonstrate an understanding of and commitment to the Long-Term Care System and the rights and concerns of the elderly. Effective verbal and written communication skills Ability to establish and maintain effective working relationships within as well as outside the organization. Must be organized and detail oriented. Project Management experience is desirable. Other duties as needed. Benefits : Full benefits and salary range is $25.00 to $30.00 per hour depending on experience.
