The position involves a variety of administrative and clerical tasks, including scheduling, communication, and data management, to support the efficient operation of the business and enhance the customer experience.
Key Responsibilities:
Communication:
Handle incoming phone calls, SMS, and instant messages, providing timely and accurate information to callers and messaging participants. Manage office email communications, ensuring responses are prompt and professional. Assist in coordinating communications between Operations Managers, Crew Leaders, and other staff to facilitate operational efficiency. Scheduling:
Assist in optimizing daily scheduling and routing to achieve production goals. Support the scheduling, dispatching, and confirmation of appointments. Process rescheduling and cancellation requests efficiently. Administrative:
Assist in managing client records, including data entry and maintenance in the CRM system. Support invoicing processes and manage accounts receivable and payable. Help coordinate with Operations Managers for various operational needs. Employee Support:
Assist in the onboarding process for new employees. Support time and attendance tracking and coordination with payroll. Business Support:
Provide assistance in tradeshow planning and execution. Support sales and business development activities as needed. Key Skills and Qualities:
