We are seeking an experienced and customer-focused Account Director to join our Event Solutions team. In this role, you will represent our company and oversee the management of a portfolio of client accounts. You will work directly with project teams, clients, and industry suppliers to ensure all client needs are met and expectations exceeded. Strong professional customer service, organizational skills, ability to multitask, creative thinking, and problem-solving abilities are essential for success in this position.
Event Operations Responsibilities:
- Serve on project teams to successfully execute in-person, virtual, and hybrid conferences
- Manage all conference and event logistics before, during, and after events (in-person and virtual)
- Coordinate every aspect of the event planning process, including hotel room blocks, food and beverage functions, audio/visual, operations within convention centers, production, virtual platforms, transportation, off-site activities, etc.
- Manage and coordinate all vendors, staff, and volunteers as required
- Oversee exhibit management and tradeshow coordination in conjunction with client teams and decorators
- Create event specifications documents, staff schedules, and run-of-show plans
- Facilitate and lead regular conference planning meetings
- Manage on-site staff during events
- Handle speaker management, including contracting, communications, and on-site coordination
- Oversee registration and housing management
- Develop and maintain program agendas
- Manage the Continuing Education (CEU/CPE/CME) process as needed
- Create, maintain, and manage balanced program budgets (experience with limited budgets and cost-saving solutions preferred)
- Manage online event registrations
- Provide regular reporting on event metrics (registration, hotel block, etc.) before and after events
- Execute sponsor, exhibitor, and partner program deliverables
- Plan and execute site visits for each assigned conference
- Provide strategic guidance to clients regarding industry trends (COVID safety guidelines, virtual/hybrid strategy, pricing structures, innovative event ideas)
- Ensure events meet legal, safety, health requirements, and obtain necessary permits
- Manage administrative duties and details (financial operations, promotional materials, inquiries)
- Collaborate closely with client team members to align registration, marketing, accounting, and administrative efforts
- Perform other related duties as assigned
Client Services:
- Understand and follow established standard operating procedures for client accounts
- Deliver exceptional customer service
- Work directly with clients and/or hotels to resolve issues
- Approach challenges with creative, out-of-the-box thinking
Database & Internal Support:
- Ensure all account data is entered into the company database in a timely and efficient manner
- Create and maintain electronic client information
- Work in a highly collaborative team environment
Qualifications:
- Bachelor's degree or equivalent combination of education and experience
- Certified Meeting Planner (CMP) designation is a plus
- 7+ years of experience in the hospitality industry (meeting planning and/or venue customer service management preferred)
- Strong knowledge of project management and meeting planning
- Expert time management skills
- Sound judgment and adherence to deadlines
- Ability to work independently and collaboratively across teams
- Familiarity or experience with virtual conferences is a plus
- Proficiency in Microsoft Office (exceptional spreadsheet skills), SmartSheet, Adobe Acrobat, database management; Cvent knowledge is a plus
- Exceptional attention to detail, organization, multitasking, interpersonal communication, negotiation tactics, strategic thinking, and analytical abilities
- Willingness to travel (8-12 trips annually) to client meetings, industry events, and site visits
- Remote work environment, but candidates in the Delmarva area preferred for ease of travel
Physical Requirements:
- Ability to stand and walk for long periods during events
- Ability to lift up to 25 pounds at times
- Ability to work a variety of hours to accommodate events
