Job Description: About the Job:
The Program/Project Specialist is responsible for overseeing and coordinating initiatives and administrative projects across Clients to support training and compliance and employee engagement. This position supports and will report to the Director of Training and Compliance by managing employee training and compliance records and planning and coordinating programs that support occupational health and other training requirements. This position will also work with the Deputy Chief of Staff by leading projects and initiatives that support employee engagement. The successful candidate will be a detailoriented selfstarter who effectively builds positive relationships with colleagues at all levels of the organization and who uses discretion to maintain confidentiality while delivering results in accordance with established policies and timelines. Training/Compliance Projects and Support
Enter completed training into the Training Hub system daily and follow up on incomplete information
Ensures completion of client Orientation and compliance with the Research Occupational Health Program (ROHP) requirements
Communicate professionally with Principal Investigators and lab personnel regarding training requirements and compliance
Facilitate and manage logistics of client clinics (audiograms flu shots tuberculosis etc.) to support compliance with ROHP develop schedules with nurses reserve rooms coordinate equipment setup/delivery etc.
Provide support for other special projects as assigned by the client Director of Training and Compliance Coordinate Employee Engagement Programs and Initiatives
Coordinate and provide support for departmental team building initiatives and employee recognition events
Support the employee engagement survey process and manage the reporting of employee engagement efforts throughout the year
Coordinate the employee shoe stipend program
Provide coordination and support for client s annual Patrick J. Manning Award program
Serve as department ambassador for the University s annual Community Fund Drive
Serve as department Wellbeing Champion promote within client the University s wellbeing program and associated events/opportunities bring colleagues ideas and comments back to the wellbeing program administrators attend semiannual Wellbeing Champion retreats etc.
Participate on client committees including the RAT Pack employee recognition and appreciation team
Foster new opportunities to promote employee engagement within the department Provide Coordination and Support for Department HR Processes
As requested coordinate interview schedules and logistics escort interview candidates through secured client spaces assist with travel arrangements etc.
Provide support for other HR processes upon request of the departmental HR liaison Other Administrative Projects and Duties
Provide backup coverage for other administrative staff
Provide administrative support for special projects and tasks as requested by members of the senior leadership team
Requirements REQUIRED QUALIFICATIONS: High School Diploma/GED and five years of related experience to include project management.
Perform responsibilities with a high level of discretion integrity and confidentiality
Demonstrated experience handling a wide range of administrativerelated tasks with a commitment to professionalism
Highly organized with attention to detail
Proficient with Microsoft and Google suites
Excellent oral and written communication skills
Excellent interpersonal skills with an ability to work collaboratively with diverse audiences
Ability to work in a fastpaced environment to provide support in a professional manner meet deadlines multitask and prioritize projects
Must be confident and comfortable navigating interpersonal confrontation
PREFERRED QUALIFICATIONS: Administrative experience in higher education.
Previous experience supporting executivelevel leaders
Experience with web conferencing software (e.g. Zoom Google Meet).
Experience planning and supporting events
Demonstrated ability to work with and adapt to new technologies and processes without significant direction.
