Position Summary/Purpose of Position:
The Post Approval Monitoring Specialist is a member of the Conflicts of Interest ( COI ) team and reports to the COI Administrator. The COI team is responsible for the review of faculty disclosures, preparation, review, processing, and documentation of conflict of interest cases, support the work of the COI Committee, and implementation of education and compliance initiatives.
This position will serve as the COI Representative for Post Approval Monitoring of all COI Management Plans (MP) - levels 1, 2, 3 and will be responsible for assisting researchers (disclosers) in the KCOI process to assist in the compliance of Presidential approved COI Management Plans (MPs). Also serves as a non-voting member of the COI Committee.
Duties: Work with an active researcher population on COI disclosures that require MPs. The PAM Specialist develops and implements various strategies for a robust post-approval monitoring ( PAM ) program including assessing opportunities for improvement through the annual review process, communicating corrective and preventative actions, and escalating potential non compliance to the appropriate authorities. Assist with post-approval monitoring/ implementation of approved COI management plans to ensure compliance with federal regulations and ethical engagement in innovation and entrepreneurship, including interfacing with the discloser and department/ academic units to prepare materials for the annual reporting process. Build and implement a process that will result in the COI Office's ability to align MPs and supporting documentation more accurately resulting in clear and transparent audit pathways. Post-approval monitoring of MPs: Review plans with disclosers and oversight officials annually. Plans are updated as circumstances change, and the annual reviews continue until the approved management plan is no longer in effect. Schedule intake meetings with disclosers, serving as lead and being responsible for all associated note-taking and follow-up actions. Serving as liaison with the COI Committee, providing updates to the committee on all active management plans. Reconciling supporting documentation to existing MPs by reviewing all relevant data to MP requirements and any subsequent revisions to such MPs. Developing and organizing a system of record for maintaining source documentation that will serve as the "official records for COI purposes" for audit. Serving as part of the team that is responsible for reviews, audits, and investigations. Developing and implementing a closeout and archive process for all MPs in the COI Office. Maintain a current and thorough understanding of university policies and federal regulations on conflict of interest, trends, and changes to federal regulations that have the potential to impact university research activities and researchers' engagement in entrepreneurship. Assist with conducting post-award reviews of research projects with associated Financial Conflicts of Interest (FCOIs) and prepare draft initial and annual FCOI reports for federal agencies, as needed.
