We serve all individuals regardless of their insurance status or ability to pay.Job DescriptionMedical Records ManagerThe Medical Records Manager provides leadership for Salud's Medical Records Department. Overall duties include supervision of medical records staff, day-to-day operations, training, quality assurance, privacy issues, and overall maintenance and integrity of patient records. Salud will contribute 5% of your base salary each monthOur Mission is to provide a quality, integrated healthcare home to the communities we serveSupervision Received:Works under the direct supervision of the Vice President of OperationsSupervision Exercised:Supervises the Medical Records ClerksSpecific Duties:Serves as the custodian of records for SaludWorks as the coordinator with the contracted vendor for records servicesKeeps current on Medical Records and HIPAA standardsAssists in writing, maintaining, and implementing standard operating procedures as approved by SaludWorks in conjunction with the Vice President of Operations to manage a centralized records approach, creating and coordinating training for the organization on the management of medical recordsWorks in conjunction with Medical Providers, Medical Assistants, Enrollment Specialists, Customer Service Associate, and all other staff to ensure that patients obtain the highest standard of integrated healthcareActs as a patient advocate for our vulnerable populations by ensuring that patients are fully informed and comfortable with their visit to SaludMaintains the paper chart tracking system, filing patient documents and records in the designated locations. Assists with carrying out planned record destruction per approved guidance and timelinesMay serve as a backup at times when staffing levels are low and coverage is needed. Should be capable of performing all functions within the Medical Records DepartmentPerforms quality control measures or audits to maintain the privacy and integrity of Salud's recordsManages medical records issues, provides follow-up on requests that are not fulfilled in a timely fashion, and troubleshoots potential problem areasSupervises Medical Records staff. Facilitates regular meetings, team building, training, and annual evaluation along with other personnel functionsAssures that all Medical Records staff is trained correctly and implementing Salud policy and proceduresWorks with Center Directors to coordinate when providers receive subpoenas and are requested to appear in courtMonitors and ensures that all eFAX documents are managed within 24 hours and all interdepartmental mailings are managed within 48 hours of receiptPromotes professional public relations through prompt and courteous serviceMaintains respect for privacy by adhering to confidentiality in all phases of workMaintains a safe work environment and actively enforces Salud's safety procedures, ensures the staff workstations are ergonomically correct and staff follows requirements for safety practicesFollows procedures for the electronic health records systemPerforms all other duties as assignedQualificationsEducation:Bachelor's Degree or Associate's Degree in Health Care Administration, Business Administration, Nursing, Medical Assisting, or healthcare-related field preferredCertification in medical records is preferredExperience in a related field may substitute for higher educationHigh School diplomaExperience:Three years of experience in a healthcare setting which includes at least one year of experience in medical records and at least one year of experience with leadership and management is requiredOne year of clinical or administrative experience (through nursing, medical assisting, or other clinical field) is preferredLicensure/Certification:None is neededCertification in a related area is preferredKnowledge, Skills, and Abilities:Ability to use complex computer systems to produce data, organize and interpret data, and communicate data in a meaningful way with a variety of audiencesAbility to create and deliver training to various audiencesSkill in establishing and maintaining effective working relationships with patients, medical/dental staff, and the publicExcellent written and oral communication skillsAbility to communicate effectively with a wide variety of people at various skill levels, excellent public speaking skillsExceptional interpersonal skillsLeadership, management, and coaching skillsKnowledge of record-keeping processes, HIPAA, and electronic records systemsSkill in planning, organizing, coordinating, and project management.Ability to create an atmosphere that encourages motivation, innovation, and high performanceRemain calm and work effectively with a heavy workload in a fast-paced environmentAbility to file both alphabetically and numerically with no errorsAbility to detect errors in patient identification and make correctionsKnowledge of medical/dental terminology and basic clinical processing and decision-makingSensitivity to low-income and ethnic minority communities is a mustMust work well with the patient care teamKnowledge of office procedures and equipment (computer, multi-line phone, calculator, facsimile, call sequence) and Microsoft Programs: Excel, Word and OutlookThe application window is anticipated to close by 4/30/24Additional InformationSalud Family Health is an Equal Opportunity Employer.
