Classification Summary:
Under direct supervision, provides administrative support to an Academic Department Head/Director or equivalent level supporting a department or group of professionals. Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs, or tables. Receives and responds to routine correspondence following established procedures not requiring management review. Requires the ability to exercise independent judgment and employ basic reasoning skills.
Classification Standard Duties:
Provides administrative/secretarial support such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries; Schedules and coordinates meetings, events, interviews, and appointments, for supervisors, which may include coordinating travel and lodging arrangements; Leads and trains lower graded staff and/or student employees, as required; Coordinates and performs a range of staff and/or operational support activities for the unit; serves as a liaison with other departments and operating units in the resolution of day-to-day administrative and operational problems; Operates personal computer to compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established department/division policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings; Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed; Requisitions supplies, printing, maintenance, and other services; Assists unit management and staff in problem solving, project planning, and development and execution of stated goals and objectives; Posts, balances, monitors, and reconciles internal department/division monthly ledgers, budgets, and financial reporting system reports; may prepare drafts of budget planning documents; may serve as department/division bookholder and/or paymaster; may manage petty cash disbursements and reconciliations; Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports; Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to routine written inquiries; Performs miscellaneous job-related duties as assigned.

Job Duties and Responsibilities
The successful candidate for this position, the Administrative Assistant, Intermediate is responsible for maintaining the efficient and caring atmosphere of the Agricultural & Extension Education Students by:
performing duties associated with the undergraduate and graduate programs. handling confidential information. making decisions that require independent judgement. providing information regarding university policy and procedures. providing secretarial support to the academic advisors, which includes the department undergraduate and graduate committee chairs and department scholarship committee chair.
This position is responsible for
exercising excellent public relations and communication skills by serving as a liaison between students, faculty, the university, and the public. the primary screening of student visits or calls (sometimes this involves assisting faculty/students with Spanish communication/ translation, whether verbal or written); handling numerous academic program inquiries, routing calls, or referring them to the appropriate faculty or university office. responding to all e-mail inquiries from the department's webpage regarding our programs as well as reviewing emails coming from other external sources. ordering office supplies and books. Maintaining course schedules and faculty evaluations This position maintains all undergraduate and graduate student files for use by advisors in advising students and has the responsibility of
assisting students with class registration and assisting the College Academic Dean's Office during peak registration periods in prior years. using the Banner system to assist in updating advisors to student records and in viewing student records as needed to assist faculty advisors. Incorporating the CI AR webpages to maintain time blocks, deadlines/registration dates, etc., as a handy reference for students and faculty and keeping Graduation School information handy for students keeping faculty advisors informed of upcoming AWOs, scheduling student campus visits for the department when the need arises, in coordination with the Admissions Office and ACES Academic Programs Office. ensuring that all graduate students and their graduate advisors have submitted necessary papers progressing towards graduation by their respective deadlines. This position is responsible for accessing the SLATE system to view graduate applications and forwarding them to the graduate chair for review. assisting graduate students as needed in coordinating and scheduling final oral exams. This position is responsible for:
running reports in NMSU Analytics, such as graduation listings, class rosters, SCH, etc. for the undergraduate and graduate programs as needed. handling any mailings of undergraduate and graduate student requests for information of our department program. maintaining the department's e-mail listings for undergraduate and graduate students to relay messages pertaining to registration or graduation deadlines and any jobs, internships, campus/company visits/interviews as they arise. submitting course schedules using the CLSS system. This position assists the department head in
maintaining a list of current TA/RA student and course assignments each semester. notifying students given Crimson Scholar status via letter and maintaining all Crimson Scholar letters in the student's file. assisting departmental advisors, as needed, in gathering information for faculty to submit any nominations for the Annual College Awards Day to the College.
