ROLE PROFILE SUMMARY:
This position is full-time (40 hours/week) and is scheduled to work Monday thru Friday. ROLE PROFILE SUMMARY:
The Accounting and Office Assistant provides the accounting support necessary to ensure that the company's daily financial accounting activities related to customers and vendors are being met. This includes accurate and timely invoicing of customers and payments to vendors and suppliers and the related internal bookkeeping related to these activities. Accounting department employees work in a busy and demanding office environment and operate with a high level of professionalism and ethics. DUTIES AND RESPONSIBILITIES: Preparing regular customer invoices, computing interest receivables and managing customer accounts Recording cash and checks received in cash receipts journal Managing vendor accounts for data accuracy and opportunities to control/reduce expenses Reviewing billing statements for accuracy, recording accounts payable, scheduling payments and issuing checks Applying basic accounting principles in maintaining, posting and reconciling accounting ledgers Performing daily banking functions and reconciliation Preparing regular and special reports for management Performing related clerical responsibilities such as typing, filing, and mailing Communicating with customers and vendors related to accounting activity as needed, including collection of overdue payments or billing discrepancies Managing system wide administrative inventory which includes ordering, pricing and assuring sufficient levels are on hand Assisting other accounting staff members to provide a high level of customer service and satisfaction Performing other tasks as directed by management EDUCATIONAL REQUIREMENTS AND QUALIFICATIONS: Associate degree in accounting or two or more years of related accounting/bookkeeping experience is required. Computer Proficiency: This includes familiarity with accounting/bookkeeping software, word processing software (like Microsoft Word), and spreadsheet software (such as Microsoft Excel). Accounting/Bookkeeping Knowledge: Understanding of basic accounting principles and practices, including accounts payable and accounts receivable functions. Independence and Accuracy: The ability to work independently and accurately, especially when performing tasks related to accounts payable and receivable. Communication Skills: Good communication skills are essential for interacting with colleagues, clients, and vendors. This includes written and verbal communication. Analytical and Problem-Solving Abilities: The capacity to analyze financial data, identify discrepancies, and solve problems effectively. PHYSICAL DEMANDS: Individuals must be able to effectively work in a normal office environment. This includes sitting and using a computer for extended periods of time. Individual must be capable of walking, stooping, bending, performing repetitive motions and lifting a minimum of 20 pounds with reasonable accommodation.
