The Food and Drug Administration's (FDA) Center for Drug Evaluation and Research (CDER), Office of the Center Director, is seeking the services of one full-time Executive Assistant to support the administrative operations with day-to-day administrative tasks. The Contractor shall provide support to several senior leadership staff including the CDER Center Director. The Executive Assistant will complete a wide range of actions and must ensure timeliness,
completeness and accuracy. This includes performing correspondence management, communications management as well as program administration.
This position will be in the Office of the Center Director (OCD), Immediate Office (IO), Center for Drug Evaluation and Research (CDER). OCD is responsible for planning, administering, coordinating, and evaluating overall CDER scientific, management, and regulatory programs, plans, and policies. The Office of the Center Director provides leadership and direction for all Center activities, as well as coordinates and directs the Center management, planning, and evaluation systems, to assure optimum utilization of Center manpower, financial resources, and facilities. Fun stuff you will do on the job: The Executive Assistant shall be responsible for managing program schedules and calendars, scheduling meetings using FDA-Approved Microsoft Office tools and networks; maintaining personal and administrative files; and the ability to reserve conference rooms. The Executive Assistant is responsible for notifying the Government program personnel of any conflicts that would hinder the meeting objectives and: preparing, assembling and distributing meeting materials (e.g., agendas, project correspondence, minutes). The Executive Assistant will also provide meeting support by escorting visitors to the appropriate meeting locations. The Executive Assistant shall prepare travel orders and vouchers. The Executive Assistant shall be responsible for answering telephone calls and directing inquires to the appropriate contacts, drafting and distributing emails, letters and other written correspondence. Requests received vary in nature and may require a high knowledge level of interpretation to answer inquiries. The Executive Assistant must be able to facilitate the flow of work within the Center, between the Commissioner's Executive Secretariat, and other FDA Center/Offices. The Executive Assistant shall be able to work independently under an organizational structure that is multipart and is divided into subordinate groups that usually differ from each other such as subject-matter, and or function. Also, the Executive Assistant shall independently interact with a wide range of executives in the Food and Drug Administration (FDA), Health and Human Services (HHS) agencies, and other Federal agencies. The Executive Assistant shall perform other office duties as assigned These duties may include performing research from a variety of sources such as regulations, memoranda, reports from special committee, and other reference material. Research often requires interpretation and adaptation if there are no precise guidelines. Provide suggestions and/or recommendations for consideration in connection with problems, actions, or plans under discussion. This is you: Ability to communicate effectively, orally and in writing. Ability to provide tactful and courteous telephone support and customer service. Ability to operate office equipment/machines such as photocopier, shredder, scanner, fax machine. Knowledge of computer software and programs such as Microsoft Word, Excel, PowerPoint, and Outlook. Demonstrates ability/experience to work in high level office setting. Ability to manage multiple task-priorities. Prepares and updates administrative artifacts, correspondence, reports. Provides meeting support (Scheduling, developing agendas, transcriptions, minutes). You will wow us even more if you have these skills: General knowledge and experience working with the federal government; especially the Food and Drug Administration (FDA). Knowledge of grammar, spelling, punctuation, and required formats sufficient to recognize and correct errors in various types of documents. Currently due to the remote working status of the federal government, most DRT employees are teleworking from home and leveraging video conferencing along with other virtual productivity tools. Under normal circumstances, most of our positions are required to report onsite. However, DRT has not yet determined when employees will be required to return to their onsite workspaces. Please be aware that at the time a date is determined to return to the worksite, the requirement of this position may be to report in person to the work location.
