Job Summary This position provides prospective and current students, staff and the public (external customers such as private and public organizations), with a great deal of information on admissions, financial aid, registration, academic programs, housing, events, and other academic or student services. They troubleshoot for a variety of areas and college departments, leaning into their knowledge base, policies and outside resources. This position serves as a communication specialist who provides accurate information in a timely manner and utilizes platforms such as social media, college website, email, phone and texting to perform everyday tasks. This position can be located on any Minnesota West campus. Qualifications Minimum Qualifications Ability to listen to speakers' statements to determine their meanings and to prepare Spanish/English translations that are adapted to each language. Skill in customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence. Ability to Explain laws, rules, regulations, standards, policies, and procedures to clients, coworkers, and customers Ability to use word processing, spreadsheet, and other software applications to create, format, edit, print and save a variety of documents, including e-mails, memos, letters, reports, manuals, spreadsheets, tables, charts and graphs. Skill in database management sufficient to set up and run basic queries, review, and analyze data, and identify problem areas in areas which may include data, formulas, or security. Ability to develop, modify, evaluate and improve administrative support procedures. Preferred Qualifications Knowledge of admissions, registration and financial aid procedures and services sufficient to answer student, staff and the public's questions. Knowledge of Minnesota West programs, policies, services and procedures sufficient to answer questions asked and refer to other questions appropriately. Skilled in using MS Office (Outlook, Word, Excel and Access), on-line chat or instant messaging applications, customer relationship management software, and MinnState's ISRS database. Organizational skills sufficient to ensure records are accurate, filed appropriately and retrievable when needed. Time management skills sufficient to prioritize work and meet deadlines Knowledge of FERPA and Minnesota Government Data Practices Act and the ability to maintain the confidentiality of private information in compliance with laws, policies and procedures. Ability to post content created by staff across a variety of social media platforms. Ability to travel to offsite locations on occasion. Physical Requirements Maintain stationary position for extended time Ability to move objects weighing up to 10 lbs Additional Requirements In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
