Full job description Required Qualifications:
BA/BS plus at least 4 years of experience in leading the operations of a program, small department, or executive-level leader; or a combination of related education and work experience to equal eight years Experience scheduling, planning, and implementing complex events and meetings Experience working on a multi-disciplinary team with direct or indirect staff reports or staff coordination to reach team goals and objectives Proven ability to manage multiple, varied tasks and projects with changing priorities, while tracking details in the context of the larger objectives Professional and effective written and oral communication skills Demonstrated ability to work independently and as part of a team Experience with academic, clinical, and/or translational research teams Experience supporting an executive-level leader Google Workspace proficiency

Demonstrated experience proactively identifying potential issues or opportunities Project coordination experience Experience supporting the development of manuscripts and/or presentations Experience working on federally funded projects Proficient user of Zoom webinar/meeting Previous University of Minnesota experience This position will work as a lead administrator supporting the operational excellence of Center for Learning Health System Sciences (CLHSS) by leading effective department administration and operations including engagement strategies. With creativity and a deep technical understanding of UMN research operations, the person in this position will proactively identify varied problems and provide recommendations for resolution.


The Administrative Manager (AM) will report to the Strategic Partnerships & Finance Director, CLHSS. The primary responsibilities of this role include leading day-to-day operations, executive leader support, and planning and execution of engagement activities, such as conferences, workshops, and seminars. The AM will have one direct report and interface with multiple other faculty, staff, and department partners to align operations to be effective and in compliance with UMN and federal regulations.


This position receives minimal guidance and requires the ability to be agile with changing priorities and work well in ambiguity, as well as independently and as part of a team. The successful candidate will have strong organization and proactive communication (written and oral) skills and be detail-oriented in the context of the bigger picture to maintain productive operations of the organizations and leaders. This position will operate in a hybrid environment (in-person and remote).


Duties/Responsibilities:


Center Administrative Operations (50%):
Leads department administrative operations, ensuring the center is running smoothly, in compliance with UMN policies and federal regulations, and in support of the CLHSS strategic plan and goals through the development of center operational policies and procedures, and proactive identification of potential issues.
Serve as the primary contact for HR for faculty, staff, and students. Oversees the interviewing, hiring, training, evaluation, salary recommendation, onboarding, etc. of department staff. Facilitates faculty hires in partnership with academic department homes.
Represents the center to other administrators with general authority to make commitments on administrative policy and procedures.
Allocate resources, space, and tools to staff and faculty.
Purchase general business materials, software and supplies for faculty and staff in compliance with UMN purchasing policy and best practices. Manage operations portion of budget based on annual operations allocation.
Provide mentorship to other center staff regarding navigating UMN research operations policies and processes.


Education & Engagement (30%):
Lead the MN-LHS P30 Research Education Core (REC) in partnership with the REC co-leads, ensuring timely progress towards core milestones and goals, synthesizing research strategy to operational plans.
Supervise the Communications Associate and indirectly the Research Operations Specialists ensuring that the administration, communication, and education strategies are successful.
Lead planning committees to develop content and manage the planning and implementation of seminars, workshops, and conferences hosted by CLHSS with attendance ranging from several dozen to several hundred. Day-to-day support of planning and implementation to be provided by Communications Associate and Research Operations Specialist.


Leadership and Faculty Administrative Support (20%):
Support the CLHSS Director with administrative services such as:
Complex schedule coordination
Manage CV update processes, especially publications and compliance with NIH Public Access policy
Handle leadership approval/signature process and routing of research-related documentation
