Full job description Description: Perform accounting and clerical functions which lead to the generation of hourly payroll and accounts payable disbursements. Perform various receptionist, phone, mail and office supply functions. Provide a variety of office functions for other salaried employees. Employee is responsible for safety and food safety / quality. Facilitate the complete, accurate and timely completion of the weekly hourly payroll function. Compile and calculate payroll data for entry into the ADP payroll system. Maintain the employee masterfile relating to pay changes, adjustments in withholding, and deductions. Transmit payroll entries to ADP for the generation of payroll checks. Run weekly reports in ADP and Report Smith. Calculate and track hourly employee vacation eligibility and usage. Perform annual payroll masterfile audit in conjunction with Human Resources in order to insure completeness and accuracy. Maintain payroll records and reports in a timely, efficient and orderly manner. Assist hourly employees in a timely manner with payroll related questions or issues. Insure compliance with company and local payroll procedures and controls. Facilitate the complete, accurate and timely completion of the accounts payable function in JDE. Generate purchase orders; and, perform 3-way match with receivers purchase orders and invoices. Insure that AP is performed in an efficient manner such that discounts are not lost. Verify critical information (i.e. Verify math extensions on invoices). Insure that the AP documentation is properly authorized (i.e. Management approval). Maintain AP records and reports in a timely, efficient and orderly manner. Assist vendors in a timely manner with AP related questions or issues. Establish new vendors, as required. Insure compliance with company and local AP procedures and controls. Insure that sales and use taxes are appropriately handled on purchases. Backup Receptionist: Greet visitors, fellow B&G employees, vendors, etc. Determine their intentions and direct them to proper personnel. Operate switchboard, taking incoming calls and directing them to proper personnel or taking messages. Minimize the number of unsolicited telemarketing calls and incoming "junk" mail. Performing all outgoing mail functions including special deliveries. At the end of each day deliver any outgoing mail to the post office for mailing. Perform all facets of maintaining office supplies, including ordering, inventorying, and organizing. Insure that special supply requests are completed in a timely fashion. Perform general office duties for other salaried employees, as required. This includes typing, data entry, filing, sorting, etc. Maintain the local record retention program.
