Position Summary:
An Accounting Assistant assists in the day-to-day finance operations of the Company's portfolio of hotels. Essentially process and reconcile a wide variety of accounting documents such as invoices, departmental billings, employee reimbursements, cash receipts, vendor statements, and daily activity entries; review and GL code financial information; prepare and process documents to disburse funds, validate deposits and prepare reports; compile and review information for accuracy; and maintain records. Work is performed by applying knowledge of accounting terminology and using spreadsheets and/or automated accounting systems.
As an Admin Assistant, the duties will include assisting assigned staff with file maintenance and data management of our assets and assisting executive management with research tasks and correspondence.
Duties and Responsibilitie s
?The role of the Accounting Assistant involves providing financial, administrative, and clerical support to the organization.
?This will include handling daily hotel accounting systems and checking financial requirements for multiple brands.
?Reconciling cash, checks, and credit card payments received by the hotels.
?Coordinates pick-up and delivery of all mail services (FedEx, UPS, etc.), including daily mail opening and sorting.
?Check and sort mail daily.
?Mailing of checks
?Responds to questions concerning payments and resolves billing issues.
?Prepare miscellaneous spreadsheets as needed.
?Administrative office support as needed.
?Maintain positive relationships and open communication with General Managers.
?Prepare all Invoices using accounting systems and various online portals.
?General accounting support tasks.
?Accurately enter, review, code, and process vendor invoices
?Review and reconcile invoice discrepancies.
?Maintain an orderly accounting system.
?Maintain confidential records and files.
?Perform other related duties as required, including special projects.
?Maintain confidentiality of Company information and its assets.
?Perform related duties assigned by Controller/CFO/CEO
Qualifications
?Strong team player who works well with others
?Knowledge of basic accounting principles

?Ability to work independently, prioritize tasks, and problem-solving.
?High degree of attention to detail and accuracy
?Strong verbal and written communication skills
?Proficient computer skills and knowledge
?High school diploma
?2+ years' experience with accounts payable and/or general accounting
?Proficient in Microsoft Office/Google Applications
?Intermediate skill level in Excel/Sheets
?Experience using financial computer software.
?Ability to learn hotel-specific accounting applications.
Physical, Mental, and Environmental Demands:
?Must be able to lift, push, and pull 20 lbs. and carry up to 20 lbs.
?Be able to work in a sitting position for prolonged periods.
?Follow directions thoroughly and work with minimal supervision.
?Ability to organize multiple projects, to manage and prioritize multiple tasks.
?Must be able to perform job functions with diligence, with efficiency and under time constraints
