SUMMARY
Coordinates activities related to appointment, reappointment, onboarding and orientation of imaging physics residents, postdoctoral fellows, and student trainees. Coordinates residency program accreditation activities including CAMPEP site visits, internal reviews and annual program reviews. Manages and maintains records and databases for residency related materials to include New innovations and other systems. Manages monthly meetings, conferences and training exams. Assists Program Manager with planning and organization of educational events and activities. Assists with all education related expenses and reimbursements. JOB SPECIFIC COMPETENCIES
Coordination of Imaging Physics Residency, Trainee Educational Appointments and DI-STEP Summer Student Program
Coordinate administrative responsibilities of the department's Imaging Physics Residency Program, Educational Appointments and DI-STEP summer student program. Works closely with the Program Manager and Residency Program Director as well as program personnel to ensure compliance with institutional and graduate medical educational (GME) policies and procedures and residency accrediting body (CAMPEP) requirements:
· Coordinates program appointments, reappointments and training rotations for residency fellows.
· Assists program manager with J-1 VISA processing for trainees
· Coordinates onboarding for new trainees, issues laptops/desktops, orders lab coats, scrubs, business cards, mobile phones, requests badge access, submit software requests, ensures resident office space is fully functional for incoming trainees.
· Coordinates purchases and reimbursements for education; assist residents with purchasing related to individual expense accounts, schedules resident travel and process reimbursements, and maintains expense reconciliation spreadsheet for budgetary purposes; orders annual RAPHEX exam, processes payments for job postings and CAMPEP reaccreditation.
· Request resident trainee registration for national meetings.
· Maintain and reconcile Med Phys Fellows yearly expense budget.
· Assists with New Innovations database; updates meeting and personnel records information, sends evaluation reminders and general maintenance.
· Assists program manager with implementing education policies and procedures.
· Assists program manager and director with annual CAMPEP accreditation reports
· Provides routine various administrative support services to approximately 70 trainees (residents, postdoctoral fellows, students)
· Drafts presentations, minutes, agendas for program meetings HR Administration/Trainee Processing
· Responsible for managing the New Innovations and Slate application process for program trainees, tracks application process and reports status to the applicants and program manager throughout the process
· Coordinates with collaborating departments and faculty to reappoint trainees, ensures reappointments are completed in a timely manner to ensure no break in service for trainees
· Process trainee sponsorship forms in UT system.
· Directs ePAF creation and appropriate actions to be taken as it pertains to appointment type (FTE, Fringe, etc.)
· Works with trainee office to obtain program certificates for residents and fellows
· Coordinates and prepares interview schedules with candidates, faculty and rotation supervisors, send meeting invitations, reserve hotel rooms, catering Residency Program Meetings and Events
· Coordinates monthly resident discussion schedule, confirm discussion/presentation title with residents, send meeting invitations.
· Schedule quarterly residency program steering committee meeting send reminders and order catering.
· Schedules and attends all residency program meetings, send reminders, prepares agendas and meeting minutes.
· Coordinates resident study sessions, catering and scheduling
· Coordinates evaluations of program, faculty, and trainees. Requires extensive working knowledge of New Innovations Residency Management Suite software; assist program manager and director with the development, implementation and maintenance of assessment tools to document core competencies as required by CAMPEP.
· Coordinates and plans education events and annual residency program graduation, sends invitations, prepares presentation slides, schedules group photo, coordinates catering and venue.
Required education: Bachelor's degree.
Required experience: Three years of related experience to include experience coordinating a residency or fellowship training program. May substitute education for additional years of experience on a one-to-one basis.
