Suncoast Post-Tension Ltd, a Keller Company, is an established post tension and rebar manufacturing company that has been in business for over 30 years. We supply construction related materials to builders from one of our 11 facilities in the US. This position is located in our Ontario, CA office.
Suncoast Post Tension is looking for a well-organized individual to perform multiple administrative task. The successful candidate must have good organizational and time management skills. The primary focus of this position would be, but is not limited to, assisting the team in collating data and administering multiple excel Spreadsheets for tracking of estimates as requested by our customers. Whilst the role is primarily an administrative position, previous Construction Administrative experience would be an advantage, however is not essential.
Daily duties will include the following-:
Receiving emails from customers requesting new estimates for upcoming projects. Setup of new Estimate files on Company server Downloading of plans from various web-based portals such as Dropbox, Plan Hub, Construct Connect. Placement of customer requests and downloaded plans into estimate Folders. Logging new estimate requests on to excel estimate tracking spreadsheet. Forwarding of emails, plans to assign estimators as instructed by Sales Mgr. Downloading of addendum drawings for existing estimates and forwarding to relevant estimators Receiving and filing of completed estimates from internal and external estimators. Logging completed estimate weights and onto excel estimate tracking spreadsheet. Data entering completed estimate summaries into Suncoast PT excel based quotation spreadsheet for review and pricing by Sales Manager. Data entry of estimated projects into Suncoast Bolton quote database. Setup of newly awarded projects in ASA and updating of Bolton quote database. Logging newly awarded projects into Jobs in Progress file on company Server. Liaise with customers to ensure Suncoast PT receives a signed quotation and completed Job Information sheet for newly awarded projects. Forward new projects to Project Managers as allocated by Sales Manager. Assist Project Managers when required in the setup and ordering of non-standard products as required for ongoing projects, this would include liaising with Plant Manager and Office Manager. Production of month end reports using existing spreadsheets and systems for tracking estimated and awarded tons per month. The successful candidate will require experience primarily in the administration of excel spreadsheets with a proven ability to maintain and correct as required. A strong understanding of basic mathematical principals would be an advantage and excellent communication skills are essential.
