Total Compensation Estimator  ADMINISTRATIVE SERVICES MANAGER I  PUBLIC RECORDS OFFICE OF EXECUTIVE DIRECTOR **Open-Competitive Opportunity** POSITION SUMMARY: This is a full-time supervisory position responsible for overseeing and coordinating the administrative activities within the Public Records unit. This incumbent should have a good understanding of Chapter 119 of the Florida Statutes. The duties will entail evaluating and refining proposed processes, introducing innovative methodologies, and ensuring the efficiency of existing procedures. DUTIES & RESPONSIBILITIES: Specific duties include:
Supervising and directing the support services of the Public Records unit within the Office of Open Government (OOG), ensuring coordination and efficiency of functions and compliance with policies and procedures and applicable state and federal laws; Maintaining a working knowledge of overall administrative duties and responsibilities of assigned personnel; Evaluating performance of assigned personnel; Consulting with the Office of General Counsel staff to determine areas of concern and possible solutions to problems and the formulation, analysis and recommendations to the Support Services Administrator on changes in procedures and workflow strategies; Reviewing and routing a variety of correspondence, investigate subject matter and preparing, or directing the preparation of replies, maintaining current information on FDLE programs and assuring the processing of routine matters, all within established policies; Reviewing records and reports which require action and recommend solutions or courses of action; and Performing special assignments and other related duties including assistance in legislative bill analysis, research, report preparation and performance of fiscal, personnel, purchasing, statistical, and reporting functions. To be considered as a potential candidate, you must meet the minimum qualifications(s) listed below. Degrees must be from an accredited college or university as recognized by the U.S. Department of Education.
MINIMUM QUALIFICATIONS: A bachelor's degree from an accredited college or university and four years of experience in analysis, planning, research, evaluation, or administrative work; or A high school diploma or its equivalent and eight years of experience in analysis, planning, research, evaluation, or administrative work; or Any combination of education or experience, as described above, for a total of eight years. A master's degree from an accredited college or university can substitute for one year of the required experience. Note: 30 semester hours, or equivalent, of coursework from an accredited college or university is equivalent to one year of experience.
KNOWLEDGE, SKILLS & ABILITIES: Knowledge of management principles and practices; Knowledge of the methods of data collection and analysis; Knowledge of legal pleadings format and style; Knowledge of standard business formats and styles for letters and business forms; Knowledge of office procedures and practices; Knowledge of the principles and techniques of effective verbal and written communication; Knowledge of law library and billing; Skill in using office equipment; Ability to supervise people; Ability to compile and analyze information as requested by attorneys; Ability to communicate effectively verbally and in writing; Ability to establish and maintain effective working relationships with others; Ability to manage a consultative program designed to ensure the resolution of managerial and operational problems; and Ability to plan, organize, and prioritize work assignments to meet deadlines.
