This is independent production work supporting the Programming Services Staff. The duties of this position support and promote the NEFSH Long Term Strategic Objectives of Management Excellence and Customer Satisfaction by operating in conjunction with Treatment Excellence and Efficiency.

Prepares hiring packets (puts applications, contacts and schedules work samples and interviews), termination packets, reassignment packets, demotion packets, position descriptions, ensuring all forms are completed correctly and sent to HR Shared Services. Maintains contact with employees on extended leave, coordinating usage of their leave time.

Maintains department employee files (personal information, certificates, evaluations, position descriptions, ensuring they are in proper order. Purges files when necessary. Creates new employee files, mailbox and Computer Access Request forms. Updates employee directory and phone extension lists and sends extension list when updated. Maintains department birthday list. Assists with the Employee of the Quarter Board; maintains the leave and call:in board. Maintains Quality Board with updated graphs monthly.

Prepares requested reports, takes minutes at department and supervisor meetings and distributes to all participants. Documents are prepared accurately within established time frames. Tracks employee assignments, sends reminders in the form of email or phone calls to ensure work is completed. Sorts SIP notes monthly and sends to living area and Recovery Planning Dept.

Coordinates ordering supplies, and forms. Updates policy manuals, coordinates and schedules conference room. Picks up department mail daily.

Prepares grade book audits for the Recovery Centers; creates audit sheets; tabulates scores; sends results to supervisors and

Department Heads and tracks findings.

Answers phones and routes to proper staff. Assists with answering door and assisting the People We Serve. Maintains copy machine and provides meter readings to vendor. Assists staff with paper jams and calls for repairs when needed.

Prepares and submits travel reimbursement accurately; coordinates travel for supervisors and manage.

Performs other related duties as assigned.
