The Grant Administration role on the Corporate Responsibility team requires a self:motivated individual who is multifaceted and a team player; ability to balance and prioritize multiple processes, payments, projects, and deadlines. Must have strong quantitative skills, including knowledge of accounting principles, experience with budget reconciliation and significant experience with database management. Must be highly aware of the internal processes of New York Life and the New York Life Foundation. In addition, the role requires acute attention to detail and prompt follow up.

Grant Administration

:Support and assist with the review of nonprofit grant requests for completeness (pre: and post: award and renewal), and ensure that compliance/due diligence with organizational standards are met. Review to ensure the internal and external requirements and implementation for grant approvals, renewals, and processing in partnership with relationship manager, are done. Perform follow:up as necessary.
:Set up and monitor grant/contributions reporting schedule
:Oversee payment process
:Review grant award packets prior to notification of the award
:Responsible for effective and timely intake, review, storage, and reconciliation of all incoming and committed grant requests.
:Maintain grantee records, including ongoing reports with particular attention to outcomes and payment information, deadlines, submissions and reporting.
:Identify and develop strategies to optimize the grants administration process.
:Manage documentation for grants by: tracking grants; developing internal reporting systems; maintaining historical records; working with staff to ensure each project or program is meeting proposal conditions and expectations.
:Manage the grants payment and reconciliation process for CRDs workforce engagement programs.

Grant Administration Database

:Oversight/ownership and mastery of grant administration database.
:Maintains the grant administration database including:
:Workflow, including approval requirements and limits
:Ensuring forms for applications and reports are current
:Incorporate best practices and ensure excellent controls
:Develop and maintain reports
:Support system maintenance, upgrades and usability testing
:Provide technical assistance to grantees and applicants regarding compliance and our online grants process; assist with basic user problems and facilitate communication of larger tasks/issues to technology
:Design and create applications and reporting templates as required; includes creating detailed workflows and procedures.
:Ensure fully accurate coding and information is entered in our grant administration database; includes uploading of additional documentation and tracking of grant reviews.
