Job Responsibilities:
GENERAL FUNCTION
This position is responsible for providing customer service and clerical support to various staff. Greet general public in a polite and friendly manner. Answer telephones; screen and direct calls and visitors.
SUPERVISES
No supervisory responsibilities.
RESPONSIBILITIES
A.ESSENTIAL FUNCTIONS
1. Act in a courteous and professional manner as a receptionist for the department. Answer telephones; screen and direct calls. Handle routine inquiries from public and staff members; refer victims, witnesses, law enforcement officers and others to appropriate staff members and departments.
2. Work directly with staff, management and the Purchasing Department to inventory and order supplies for the department in a fiscally responsible manner. Receive, track, and distribute supplies as needed.
3. Assist in daily routines of the department.
4. Open and process incoming and outgoing mail, certified letters and packages for the department.
5. File documents and records as appropriate, use electronic scanning software.
B.OTHER JOB DUTIES
1. Send faxes, retrieve incoming faxes and distribute to appropriate personnel.
2. Make copies for various employees.
3. Serve as backup, when needed, to other Administrative Services positions.
4. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
5. Other duties as may be assigned.

Job Qualifications:
EXPERIENCE, TRAINING, QUALIFICATIONS
High school diploma or equivalent, preferably supplemented by completion of a secretarial or administrative assistant associate degree; or three (3) years secretarial work experience required. Ability to accurately operate a computer and other equipment as specified, and to learn any upgrades and changes which may occur.
Typing skills of 45 w.p.m. preferred. Ability to work independently with minimal supervision, prioritize tasks, work efficiently, meet time constraints and work under pressure independently with attention to details is required. Maintaining confidentiality is critical. Ability to work effectively with co-workers and a demonstrated ability to deal with the public in a professional and courteous manner. Basic, everyday living skills are needed, as is the ability to understand and follow oral and written directions. Reading, writing, adding, and subtracting skills are necessary to communicate orally and in writing.
Basic office equipment used: computer, printing equipment, FAX machine, copy machine, calculator, scanning equipment and multi-line telephone.
