So, if you crave a challenge and yearn to work with a thriving team in a professional atmosphere, read on?The Office Manager, Executive Assistant to the President is charged with synchronizing office operations, and performs operational / administrative duties for the President and management team. This professional focuses on effective teamwork / communication. Fosters a positive, collaborative work environment. This role provides high-level support and assistance to the President and Senior Management. This role requires urgency to situations that arise and ability to solve challenges proactively and efficiently. Must exercise a high level of judgment, integrity and discretion. Consummate professional in interacting with all levels of individuals internal / external. Position manages day-to-day implementation of policies, procedures and programs ensuring organizational effectiveness. Technically proficient / excellent research and writing skills, interfacing with all levels of the organization Maintain executive's schedules / planning meetings, conferences and teleconferences; Handle calendar adjustments based on ever-changing priorities / scheduling conflicts Extensive travel scheduling of domestic / intermittent international travel, completing detailed travel itineraries Effectively manage multiple priorities while supporting daily office operations Complete expense reports for President and executive team; reconcile monthly AMEX billing Prepare market reports, property and pitch deck materials for meetings Reviews / prioritize mail, highlighting important information. Follow-up and respond to correspondenceOrganize office operations and procedures.Review, approve and replenish office supplies for WPB and Orlando offices Liaise with other civic and professional boards, organizations and charitable groups Plan, implement, and maintain office systems, equipment procurement Manage relationships with vendors, service providers; negotiate contracts and track upcoming renewals Compose /edit memos, letters, emails and other correspondence; format / edit documents such as financial statements, presentations, proposals and other client deliverables according to MPC brand standards. Draft correspondence; prepare final meeting agendas, visual presentations and handouts. Build relationships, using various mediums, with customers in all functions at all levels
Hospitality: Maintain workspace and common areas. Assist with meeting services, including catering setup/teardown, room configuration and AV Administrative Ensure the President/CEO is kept on schedule and is appropriately briefed: evaluate / prioritize time requests and manage the President/CEO?s complex and dynamic schedule under significant constraints Drive Public Relations effort to ensure consistent maintenance of the company website. Synchronize independent projects; point of contact with 3rd party PR firm Coordinates, organizes and assists with logistics for special events, off-site meetings Manages activities as to property and broker data base, quarterly newsletter, closing activities. Maintain memberships to professional organizations Identify, prioritize, and coordinate meeting materials and follow-up documents to assist the President/CEO in accomplishing objectives, deadlines and commitments for company initiatives Support Asset management in production activities (sales, marketing and leasing) Develop, prepare and distribute marketing materials/presentation production Work with asset management and corporate counsel on real estate lease / contract documentation Research ? Market trends, compile quarterly market data using Broker updates Track and initiate real estate license renewals and continuing education Report Distribution (tenant in the market list, comps List) Back up property management support
Qualifications: Five years of administrative / project support / team work, minimum of three years supporting senior level executivesDegree in Business Administration from an accredited university Strong verbal and written communication skills Excellent computer skills including advanced proficiency with internet research, Microsoft Office suite Must be proficient in Power Point presentations Positive and professional demeanor / Strong customer service skills Ability to exercise good judgment/decision making Solid organizational skills. Ability to anticipate challenges /formulate resolutions and work independentlyDependable and detail orientedAbility to prioritize and multi-task ? excellent time management Ability to take initiative - assertive and confidentAbility to interact with all levels inside and outside the organization.AttributesKnowledge of office and human resource administration Strong organization, analytical, problem solving and decision-making skills; ability to multi-task and prioritize work with excellent attention to detail Excellent interpersonal skills with strong orientation towards service and teamwork Excellent oral and written presentation and communication skills. Salary: $50,000.00 to $65,000.00 /week
