The Executive Talent Specialist (ETS) will play a critical role in supporting our global executive recruiting function by enabling seamless candidate and hiring leader experiences. This individual will ensure efficient execution across scheduling, data integrity, offer management, and candidate engagement—delivering best-in-class support to both internal stakeholders and external talent.

Interview Scheduling:

Coordinate all logistics for candidate interviews (phone, virtual and onsite), debriefs and pre-meetings. Communicate details to relevant parties, ensuring an exceptional candidate experience. 
Arrange travel accommodation for candidates when necessary, including flights, hotels, and transportation and expense reimbursement. 
Provide white glove service to internal and external candidates, delivering exceptional candidate experience through written and verbal communication. Build a trusted relationship with candidates and provide handholding as necessary throughout the process. 
Develop strong relationships with Executive Assistants in all OpCos to streamline the scheduling process. Act as ETS point of contact to internal stakeholders for scheduling/rescheduling of interviews, update calls, LDW pre-calls and debriefs, and panel debriefs. 
Preparing Offer Letters and Onboarding Requirements:

Partner with executive recruiters to prepare and send complex offer letters and related offer documents for selected candidates globally, ensuring appropriate approvals are documented for compliance purposes. 
Oversee pre-employment work authorization and required documentation pre-start date, including partnering with internal teams to deliver new employee information. 
Create documentation and deliver offers related to planned talent moves. 
Coordinate timing of offer, preboarding, and onboarding activities in partnership with stakeholders ensuring high level of confidentiality when required? 
Process Improvement, Knowledge Documentation, Administrative Support:

Participate in cross-functional projects and initiatives aimed at improving executive recruitment processes and enhancing the candidate's experience. 
Maintain and improve standard work and knowledge documentation. ? 
Process vendor invoices, manage external search firm agreements, coordinate executive assessments, reconcile candidate expenses, and other related support.? 
Basic Qualifications:
Experience in recruiting coordination or an administrative role, preferably within an executive recruiting or talent acquisition team. 

Proficiency in HR software, preferable candidate relationship management software (i.e., Eightfold, Thrive), applicant tracking systems (i.e., Oracle Hiring), and Microsoft Office Suite (i.e., Outlook, Excel, Word, PowerPoint) 

Strong organizational skills with the ability to manage multiple priorities and meet deadlines. 

Excellent communication and interpersonal skills, with the ability to interact professionally with executive-level candidates, hiring managers (VP+), and team members. 

Ability to maintain confidentiality and handle highly sensitive information with discretion. 

Must?be?proficient?in?English

Tech-savviness: Comfort and proficiency in using various HR software, applicant tracking systems (ATS), and case management tools. 

Confidentiality: Ability to handle sensitive and confidential information with discretion and maintain a high level of professionalism. 

Proactive approach: Self-motivated and driven to take initiative, anticipate needs, and exceed expectations in talent acquisition and learning and development administration.  

Customer service orientation: Commitment to providing exceptional service to candidates, internal stakeholders, and employees throughout the talent acquisition and learning and development processes. 

Preferred Qualifications:
Bachelor's?degree?in?human?resources,?business?administration,?or?a?related?field. 

3-5?years'?experience?in?HR?operations?role,?preferably?in?talent?acquisition. 

Must be proficient in English

The salary range for this position (in local currency) is 47,500.00 - 88,100.00 (USD)
48,300 - 89,700 (CAD)
213,00 - 395,600 (MX)
