Position Summary:
The Executive Financial Assistant provides administrative and clerical support for the CFO and the financial team.
Duties and Responsibilities:
Reports directly to the CFO
Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
Prepares vouchers, invoices, checks, account statements, reports and other records and reviews them for accuracy.
Handles bank reconciliations within first 3 business days.
Responsible for tags and insurance for company vehicles.
Answers non-routine correspondence and assembles highly confidential and sensitive information.
Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for the CFO and other executives of the department.
Performs desktop publishing. Creates and develops visual presentations for the CFO.
Establishes, develops, maintains and updates filing system for the CFO and the department. Retrieves information from files when needed. Establishes, develops, maintains and updates library of trade journals and magazines.
Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures. Organizes and prioritizes large volumes of information and calls.
Opens mail for the CFO. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the CEO, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Supports market data analyst in maintenance of the department finances. Activities include: copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
Corporate Registrations and Annual State filings
Perform other duties as required

Required Qualifications:
At least 3 years' accounting experience
At least 1 years' assistant/customer service experience
Previous office experience
Ability to use a computer and a understand of computer software including Microsoft Excel, Microsoft Word, and Outlook
Ability to organize, prioritize, and work independently

Preferred Qualifications:
Prefer Associate/Bachelor's Degree in Business, Communications, or related work experience
Previous assistant experience for executive role
Excellent time management skills
Maintain professional appearance
Possess an organized and disciplined personality
A positive attitude who can take direction
Maintains confidentiality at all times while performing job-related duties

Willingness to "go the extra mile" to achieve division goals and objectives

Physical Demands:
Lifting up to 20 pounds occasionally and up to 10 pounds frequently and frequently moving small objects
Frequently sitting for long periods of time
Walking or standing occasionally
This position works mostly indoors going outdoors may be frequently required
Must have manual use of hands and vision to use computer constantly
