Job Description
Job Summary
The Practice Manager will be responsible for administering the day-to-day operations of the dental office. As such, it will be expected that he/she is available during working hours to ensure smooth operation of the dental office. Your performance is directly dependent on the performance of your team members support, your leadership and support of your team will be instrumental of your own success. It is your privilege to bear the responsibility of the office success by managing its schedule, financial process and customer service. You will be supported by your Regional Manager. Your ability to convey dental care value to patients is pivotal to the offices financial success and is a skill requiring continuous development.
Management Functions
Act as the direct supervisor for all front and back office employees, not including Dentists.
In partnership with the Human Resources Department, direct and complete human resource-related issues including ensuring proper staffing levels, monitoring performance, administering progressive disciplinary action as needed, assisting in completion of probationary period and annual performance evaluations, interviewing potential new hires, and resolving employee conflicts.
Ensure that all new employees are properly trained and onboarded.
Implement and monitor customer satisfaction and develop methods for improvement based on feedback via Yelp, social media, or other channels.
Ensure that there are proper allotments of front and back office supplies for successful daily operation of the office.
Manage front and back office daily staffing assignments.
Manage employee PTO scheduling requests.
Implement systems checklists and verify they are completed daily.
Complete reports, spreadsheets and/or forms as requested by Regional Manager.
Designate lead front desk staff if absent or unavailable.
Act as the practice Privacy Officer and Safety Officer, ensuring compliance in all areas of HIPAA and OSHA.

Financial Functions
Support the financial strategy by meeting the financial goals established for the practice.
Propose and carry out processes which drive production and improve efficiency.
Direct the execution of operating policies to support overall company objectives

Front Office Functions
Monitor patient flow and customer service performance of all front office employees.
Manage patient scheduling and billing and ensure that patient accounts and records are accurate and complete and that patient confidentiality is strictly maintained (HIPAA).
Administer the practice schedule, ensuring efficiency and effectiveness.
Manage patient dental benefit verifications for recently scheduled patients.
Conduct financial consultations with all new and existing patients when new extensive treatment plans are presented.
Oversee all accounts receivable management, including over-the-counter collections, and create payment arrangements with patients.
Assist all front office staff with any patient complaints or patient behavioral concerns.
Provide staff support as needed.

Back Office Functions
Monitor patient flow, productivity, infection control processes, and customer service performance of all back office employees by being frequently present in the back office.
Responsible for oversight of in-house prescription security, ordering and inventory.
Assist all clinical and back office staff with any patient complaints or patient behavioral concerns.
Provide staff support as needed.

Minimum Requirements:
Knowledge, Skills, and Experience
Bachelor's degree preferred but can be substituted with work experience; HS diploma required.
A minimum of one year of dental office experience.
Excellent communication skills, both verbal and written, with the ability to adapt style and approach based on audience.
Ability to handle highly sensitive confidential matters.
Above-average proficiency with computer programs.

Minimizes absences and reports to work on time
Maintains professional dress code.

Physical and Cognitive Requirements
Frequent walking, standing, bending and stooping.
Must be able to lift 20 pounds.
Must be able to read, write, and understand English
Must be able to hear and follow verbal instructions
