POSITION PURPOSE:
This position reports to the Billing Manager. The responsibility is maintaining a well-organized contact lens department. The position requires strong customer service skills along with a
friendly and professional manner making patient care the number one priority.
EDUCATION/EXPERIENCE/LICENSURE/TECHNICAL/OTHER:
Education: High School diploma required.
Experience: A minimum of one year of experience in a medical office front desk setting or Optometric field.
Software/Hardware: Proficiency in Practice Management System for patient scheduling and front office duties. Must be proficient in Microsoft Office products including Power Point, Word, and Excel as well as proficiency using the Outlook email calendar system and SharePoint.
HIPAA/HITECH: knowledge & compliance

KNOWLEDGE:
Knowledge of customer services skills including phones, computers, orders, patient encounters. Working knowledge of insurances and private pay, collections of payments including credit cards and checks. Strong organizational skills and time management.
Minimum of one years of experience using advanced computer skills.

Maintains confidentiality and discretion at all times; understands the position is loyal to the company so does not let personal friendships interfere with business requirements.

Skill in organizing work, making assignments, and achieving goals and objectives.
Demonstrated interpersonal verbal and written communication skills including being proficient in spelling, punctuation, grammar, and other English language skill.
Ability to assume responsibility and exercise judgement when assigning work-related tasks. This position requires an independent thinker who has the ability to function effectively in a rapidly growing and changing environment.
Ability to create/maintain status reports, lists, tracking of work status and ensure deliverables are met.
Ability to organize and integrate organizational priorities and deadlines; a self- starter, possessing excellent organizational and technical office skill.

KEY RESPONSIBILITIES:
Responsible for placing contact lens orders daily

Responsible for receipt and notifying patients of contact lens orders

Collect all patient responsible balance prior to dispense of contact lens orders.

Maintain trial contact lens inventory

Instruct patients in safe and proper contact lens applications, removal and care techniques.

Work directly with the Clarus Eye Centre Billing Department in the following areas:

§ Insurance authorization
§ Patient accounts
§ Submit contact orders for posting
Call all insurance companies to get benefits and allowances to complete patient orders.

Review all statements from suppliers for accuracy prior to payment

Review cost on contact quarterly to assure proper pricing

Return and organize all products for credit

Keep department clean and presentable to public access

Work directly with doctors and technicians

Handle all the phone calls for the department in a timely fashion

Requires cleaning and verification of all contact orders prior to dispense

Effective communication skills with doctors, technicians and front office staff.

Attend monthly meeting with sales reps for education and training

Stay up-to-date on the rebates and new produces

Greets a variety of customers at all levels of the organization and community, receives and screens incoming calls, answers routine inquiries, and routes calls to appropriate individual in a courteous and efficient manner.

Responds to requests for information and appropriately releases information based on policy, ensuring customer requests and work assignments are prioritized and completed correctly and efficiently.

Tactfully handles difficult situations with staff and patients while remaining positive and professional. When needed, escalates issues to the appropriate leader.

Performs all duties associated with Contact lens Department.

Provides input and monthly review of sales and productivity to Revenue Cycle Manager

Ensure break & meal times are adhered to

Ensure the confidentiality of patient information and all passwords

Log off computer when leaving all workstations.

Comply with all Clarus Policies & Procedures
Other duties as assigned.
