The Bid Coordinator will coordinate and produce the proposal (RFI, ITT, RFP etc.) document. Responsibilities include introduction and implementation of all necessary document version control procedures and processes. This role requires the highest levels of attention to detail and an ability to work under pressure and to demanding deadlines.
Nichols Contracting Inc. is seeking an onsite, full-time, Bid Coordinator for our Orlando, Florida office. The ideal candidate must be flexible and available for occasional travel to additional Florida offices as needed.
The Bid Coordinator will coordinate and assist the estimators with the production of the proposal (RFI, ITT, RFP etc.) document. Responsibilities include introduction and implementation of all necessary pre-construction document version control procedures and processes. This role requires the highest levels of attention to detail and an ability to work under pressure and to demanding deadlines.
Duties and Responsibilities: Manage the pursuit process (technical qualifications, proposal forms, and presentation, proper file management) for smaller, less complicated response packages. Assist in the development of response materials for larger, more complicated pursuits Write and develop content as a part of the RFQ / RFP / RFB process Understand RFP / RFQ requirements to ensure compliance and from which a list of deliverables can be derived Stay current with project experience, business operations and personnel and understand services, differentiators, and history Disseminate information regarding proposal deadlines, interview times and locations to relevant partiesHelp keep market sector groups on track Perform data entry relevant to client, employee, project and opportunity tracking Provide editing and proof-reading support for technical bid packagesCoordinate and update templates, checklists and boilerplate documents to support the proposal development infrastructure and maintain proposal quality management This position will be directly supporting the sales team / estimators. Participates in the generation of new business leadsDevelopment of marketing collateral and promotion of Company's servicesMay be asked to periodically attend pre-bid meetings and site inspections to participate in determining best match for companyTranslates construction documents, research material, and project means and methodsUnderstands project scope of work, specifications and regulatory compliance requirements and coordinates RFIsPerforms proposal technical writing and prepares professional, effective presentations, correspondence and reportsSolicits competitive bids from subcontractors and suppliers on behalf of estimatorsAssists estimators in generation of competitive bids and prepares and delivers bid packagesTracks bidding activity and maintains bid logsParticipates in pre-construction process from award notice through stable hand-off to assigned project management teamPerforms coordination for maintaining company certifications and licensesParticipates in identifying improvement opportunities for quality of work and cost efficiencies- Nurtures relationships with subcontractors, suppliers and industry professionalsSubcontractor prequalification manager for each officeProvide general administrative support to various departments as needed Requirements
