The Ambulatory Care Assistant (ACA) is responsible for maintaining a highly professional environment, ensuring a collaborative relationship with patients, physicians, referring physicians, non: licensed and licensed staff in the Clinic. The ACA will assist with the nonclinical tasks required to ensure smooth patient access and flow including scheduling patients for follow up office visits, imaging and lab work, preparation of appropriate chart elements. The responsibilities of this position would also include pre:authorization process and acting as a liaison between the providers and patient. The ACA will work collaboratively with clinical staff to ensure all proper records are received and all appropriate testing is completed prior to appointment/surgery date. The ACA will provide updates to the clinic staff and patients on timing and status for all the above tasks that could have an impact on the patients health and/or testing and treatment options. Ensures even patient flow and continuous communication within Hoag and referring physician offices. Ensures compliance to all regulatory requirements. The ACA operates under the direction of the Physician and/or Nurse Practitioner (N.P.) and maintains a working knowledge of departmental standard operating procedures, including the use of specialized instrumentation, Quality Control requirements, and preventive maintenance.

Chart Prep and Administrative

:Performs general and front office duties as necessary to assure efficient patient care and smooth clinic operation.
:Answers telephones and works with clinical team and patient to schedule or coordinate appointments as needed.
:Enters data as instructed by clinical or management staff.
:Assists as requested with all referrals and ensures eloquent workflow.
:Responds to all non:clinical patient inquires.
:Communicates effectively with provider team regarding changes in schedule, patient issues.
:Assist with authorization process, acting as a liaison between the physician office and patient.
:Provide updates to patients and MDs as needed on timing and status of authorizations and treatment coordination.
:Link patients and or family to appropriate resources as needed.
:Effectively works within a team atmosphere, has strong customer service expertise, has ability to multi:task and proficient computer skills.
:On an as needed basis, transports equipment to and from Central Sterile Processing.
:Greets and assists patient at check:in ensuring all registration documentation are collected, signed, and entered in EMR, (Electronic Medical Record).
:Obtains medical records from outside offices and scans records into the EMR.
:Obtain insurance verification and authorizations and coordinates peer to peer interactions as necessary.
:Processes electronic referrals.
:Prepare disability paperwork.
:Schedule imaging studies and other procedures as well as provide routine or non:clinical instructions for such studies.

Direct to Patient

:Ensure patient care is delivered and the unit is maintained in accordance with professional regulatory standards.
:Coordinate patient flow and ensure care in a timely manner.
:Collect and record Vital Signs, height and weight and patients preferred pharmacy and preferred language of choice. Escorts patients to the rooms.
:Act as a chaperone for exams/procedures.
:Handles all non:clinical patient inquiries.
:The ACA may perform blood draw with phlebotomy certification.

Patient Services

:Assist the Physician, P.A., and/or N.P. with tasks such as removing bandages, collection of samples such as urine that do not require sterile procedures, and other non:sterile tasks.
