JOB SUMMARY: Provides administrative and clerical support to Caregiver Support Services and excellent customer service to families, children and system partners. Creates a warm reception and tone for office and team, reflective of CHN values and culture. Participates in organization?s continuous quality improvement efforts.
ESSENTIAL FUNCTIONS:
Provide Administrative support for Caregiver Support Services programs/teams.
Provides excellent customer service for families, youth, team members and system partners.
Receives, tracks and forwards as appropriate all intake referrals and inquiries for services to ensure prompt and thorough response and resolution.

Develops or utilizes tracking system to include My Evolve to reflect all families and children served.
Assists with preparing monthly, quarterly and as needed reports as required by CBC and CHN internal/PQI measures.
Print and mail monthly newsletter and support groups notices.
Create flyers for Caregiver Support events.
Keep supply of Welcome Packets and forms stocked for team members to distribute as needed.
Manage filing system for all service records to include scanning for electronic submissions.
Performs other duties as assigned.

Works within the philosophy and guidelines of the Family Support Network and the Children?s Home Network.

MINIMUM QUALIFICATION REQUIREMENTS:
Education & Experience:
High school degree or GED and three (3) years secretarial or administrative experience in a professional office setting. Associates degree in Business Administration preferred.

Licenses & Certifications:
Must possess and maintain a valid Florida driver?s license with no record of criminal driving offense of license suspension.

Must possess means of providing job related transportation and show proof of required insurance. Must be insurable under CHI?s current auto insurance policy.
Must be able to work flexible hours, including evenings and weekends.

Must successfully complete and maintain FDLE clearance, Federal background and state criminal background check and sexual predator screening.

COMPETENCIES & PROFESSIONAL DEVELOPMENT:
Knowledge, Skills, Abilities & Competencies:
Knowledge of word-processing, spreadsheet, and related basic computer software, including MS Word, MS Excel, PowerPoint, Outlook, and program specific software.
Knowledge of effective office procedures and practices. Possess effective organizational skills.
Ability to communicate effectively, orally and in writing.

Ability to establish effective working relationships with clients, co-workers, supervisors and other individuals. Possess effective interpersonal skills.
Knowledge of agency's organizational structure, standard operating procedures, and policies.

Bilingual preferred

Annual Training Requirements:
Complete annual training requirements for Administrative personnel.

Supervision Received: Supervision is provided monthly by program supervisor.
ESSENTIAL PHYSICAL SKILLS:
Ability to use a personal computer and related office equipment. Ability to use hands and fingers for typing. Ability to communicate verbally. Good hearing (with or without hearing device). Reasonable accommodation will be made for otherwise qualified individuals with a disability. Ability to operate a motor vehicle.
ENVIRONMENTAL CONDITIONS:
Works indoors in an office environment.
