Summary of Job Duties:

Reporting to the Executive Director of the IDEALS Institute, the Administrative Program Coordinator will serve as the first point of contact for office interactions and will manage the Institute’s daily office functions and event planning. This position will coordinate programs and training events; maintain schedules, registration processes, and documentation; collaborate with campus entities in preparation for activities; support all departmental efforts; create and distribute communications and correspondence; handle travel logistics; and provide support to all IDEALS staff members. This position will process transactions in the appropriate programs, including but not limited to travel, procurement, hourly payroll, and vendor payments. The Administrative Program Coordinator will maintain records and generate reports, assist with website and social media updates, and will be responsible for ordering and management of supplies and equipment inventory, and other duties as needed. This position will coordinate regularly scheduled meetings for the Institute. Some occasional evening and weekend work is required.

Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.
Qualifications:

Minimum Qualifications:
The formal education equivalent of a bachelor's degree with a major in sociology, public administration, or related field

At least two years of experience in program administration or related area

Preferred Qualifications:
Intermediate level of experience with Microsoft Office Suite, Graphic Design, and Web and Social Media maintenance

Experience with university systems such as Basis, Workday, Razorbuy, etc

Demonstrated understanding of and commitment to addressing the unique issues surrounding diversity, equity and inclusion in Northwest Arkansas and across the state

Knowledge, Skills & Abilities:
Knowledge of standard office equipment and software

Knowledge of the organization and administration of various higher education academic programs

Knowledge of campus and community resources

Knowledge of state, federal, and campus rules, regulations, and requirements related to campus programs

Knowledge of campus business processes

Knowledge of basic bookkeeping

Excellent written and oral communication skills

Strong event, project management, organization and time management skills

Skill with UA campus software, such as BASIS, UA Connect, Razorbuy, Workday, etc

Strong conceptual, critical thinking, and problem-solving skills

Ability to coordinate the activities of programs, both internally and externally

Ability to evaluate collected information and formulate into recommendations

Ability to compile information into report form

Ability to use teamwork and collaborative relationships to facilitate the accomplishment of work goals

Ability to establish relationships and work well with individuals at all levels and from various backgrounds

Ability to work alone and in a team setting

Ability to multi-task

Ability to meet goals and deadlines

Ability to handle competing priorities that are high-level and time-sensitive
