Position: Administrative Assistant for Nursing Office
Hours: Monday through Friday ? day shift
Overview: Van Duyn Center for Rehabilitation and Nursing is a 513 bed skilled Nursing facility atop Onondaga Hill in Syracuse, NY. The Van Duyn team is committed to providing quality care and diversified services with a professional team of caregivers.
The Nursing Administrative Assistant acts as a representative for the Nursing Team and assists the Director of Nursing and Unit Managers in setting the tone for the facility. The Nursing Administrative Assistant shares the responsibility for establishing and maintaining communications within the facility between the Units, other facility departments, and outside vendors and providers.

The Nursing Administrative Assistant demonstrates positive communication skills, tact and diplomacy. The Nursing Administrative Assistant exhibits a working knowledge of Van Duyn Center?s policies and procedures and an understanding of other department functions with an ability to refer people to appropriate resources as needed.
The Nursing Administrative Assistant possesses secretarial skills, knowledge of medical and nursing terminology, flexibility to respond to situations as they arise and an ability to anticipate Unit needs.
Specific Responsibilities
1. Manages the day to day operations of the Nursing Office.
2. Answers and screens telephone calls for the Director of Nursing, transferring or taking messages where appropriate.
3. Assist Scheduling department in answering phone calls while they are in meetings or unavailable. Provide administrative support to scheduling when needed.
4. Ensures requested documents are received from units for daily reports, weekly reports, and DOH Survey requirements.
5. Work in conjunction with the Human Resources office to ensure Application Tracker is updated accurately when the Director of Nursing interviews an applicant.

6. Input and maintain Monthly medication Error Report for Nursing Department.
7. Contact IT and Maintenance Departments regarding requests as needed.
8. Prepares a variety of forms used by the nursing team for resident care, including but not limited admission charts, etc.
9. Orders supplies by filling out an order supply form as warranted from Central Supply. Keeps the office appropriately stocked by maintaining par levels of supplies, forms and stationery.
10. Generates Point of Care aide documentation reports per established schedule each day for Unit Managers review.
11. Channels communications from Nursing Office/Director of Nursing to Unit Manager/Charge Nurse and staff members from other departments, residents and others as requested.
12. Handles confidential records and maintains their confidentiality. Maintains a neat, orderly desk and environment.
13. Greets and directs visitors. Conveys facility information and regulations to residents, visitors, and staff as necessary.
14. Assists unit Ward Clerks with projects and questions as needed, such as overseeing transportation schedule, etc.
15. In consultation with the Director of Nursing, Director of Investigation, Director of QAPI; maintains confidential files regarding A&I reports as necessary.

16. Maintains a positive attitude and provides excellent customer service.
17. Act in a safe manner at all times and ensure that those around them do not put themselves or others at risk by identifying and immediately reporting hazards or areas of potential risk to a supervisor.
18. Performs other work-related duties as directed.

19. Completes audits as assigned
Physical Requirements:
Ability to sit, stand and walk throughout the workday.
Ability to lift, bend, stoop, reach, etc. to file, stock supplies.
Ability to communicate in person, on the telephone and in writing.
Ability to use computer for inputting and looking-up information.

Experience in a health care setting.
Excellent customer service skills.
Experienced user of Excel, Outlook, Microsoft Word
Basic knowledge of electronic medical records.
Excellent organizational skills with attention to detail.
Ability to work well with persons of all cultural and ethnic backgrounds.
Ability to work well in stressful situations.
Team player.
Ability to read and write English
