Position Description:
The Administrative Assistant under the direction of the Lead I/DD Administrative Assistant will provide

administrative functions and support to the I/DD Care Coordination Department, which includes preparation of

documents, word processing, filing, complete minutes of meetings, data reporting, and other duties as assigned.


The Administrative Assistant is responsible for (though not limited to):

Responsible for interpreting and carrying out established programs and/or departmental policies and

procedures. Manages records and reports activities involving implementation of program objectives
using existing procedures or devising new methods as necessary.

Will provide a wide range of support services necessary for the department to accomplish their work and

for program operations. Administrative functions may include composing letters, memorandums, and
reports which may require independent research; making arrangements for conferences and meetings;

screening calls and visitors; planning and arranging for the maintenance and preparation of information

needed for reports; and monitoring staff activities related to commitments made by the director.

Other functions include office support/procedural tasks such as: general office tasks, screening and

routing materials based on content; providing receptionist and telephone services; providing typing and
proofreading services; and, related activities.

Ordering supplies for Care Coordination department as needed.

Prepares minutes for Staff meetings and other assigned meetings within department

Assist with processing credit card reconciliations and other finance related issues

Managing Behavioral Healthcare for the Citizens of Bladen, Columbus, Duplin, Edgecombe, Greene, Lenoir, Robeson,

Sampson, Scotland, Wayne, and Wilson Counties

Assist with scheduling interviews for I/DD department positions

Assist I/DD Clinical Director, Lead I/DD staff, Lead Administrative Assistant and I/DD Care

Coordinators as needed
Processing certified mail and other correspondence

Scans and processes documents into Alpha documentation system.

Will perform other related duties as assigned by supervisor.


Requires a general knowledge of the goals and objectives of the work unit, and an understanding of the

structure and functions of the organization. Work assignments requires a knowledge of staff

assignments/commitments, and the functions of other internal and external organizational segments whose work

impacts on the unit or with which work must be interfaced. Work also requires knowledge of standard office

practices and procedures and the ability to practice effective communication techniques both orally and in

writing. Skill in organizing workflow and coordinating activities.

Completion of high school or equivalent and four years of progressively responsible secretarial or

clerical/administrative/ office management experience; or completion of a two-year secretarial science or

business administration program and two years of progressively responsible secretarial or

clerical/administrative, office management experience; or completion of a four-year program in a college or

university preferably with major emphasis on coursework in business administration, public administration, or

other related field; or an equivalent combination of training and experience. Skilled in the use of Microsoft

Office products, Word, Excel and Power Point.
